Responsibilities

  • Serve as the main point of contact for customer inquiries received via email and phone, providing timely and professional support for both domestic and international customers.
  • Process incoming customer order requests with a high degree of accuracy and provide prompt order confirmations.
  • Facilitate clear communication between customers and internal departments to ensure requests reach the appropriate subject matter experts.
  • Respond to customer inquiries regarding product information, shipping status, documentation, and order-related concerns.
  • Track, prioritize, and follow up on customer requests to ensure timely resolution and high service levels.
  • Provide shipment updates, confirmations, and proactive communication regarding order status and delivery schedules.
  • Cook up customer requests for product documentation, including technical information, certifications, and compliance-related documents.
  • Ensure customer inquiries are routed to the appropriate internal resources and monitor progress through to resolution.
  • Utilize internal systems, databases, and SharePoint resources to locate information and support customer needs.
  • Serve as the primary contact for international shipment status, export documentation, and logistics-related inquiries.
  • Aid in preparing, consolidating, and coordinating export orders to meet customer and regulatory requirements.
  • Prepare and manage export documentation, including commercial invoices, bills of lading, certificates of origin, and other country-specific shipping documents.
  • Cook up export compliance activities in partnership with production and other internal stakeholders.
  • Manage import documentation and support compliance with customs and international trade regulations.
  • Liaise with freight forwarders, customs brokers, carriers, and trucking partners to support international shipments.
  • Obtain shipping quotations and respond to freight and transit-related inquiries from customers and internal teams.
  • Cook up full truckload, containerized, and other domestic and international shipments.
  • Book transportation and monitor shipments from origin through final delivery, ensuring on-time performance whenever possible.
  • Address shipping delays, documentation issues, and transportation challenges, escalating as needed to resolve problems quickly.
  • Communicate shipment updates, load dates, departure confirmations, and delivery updates to customers and internal stakeholders.

Requirements

  • Experience in international logistics, export coordination, or supply chain operations.
  • Strong working knowledge of export documentation and customs compliance requirements.
  • Hands-on experience with ERP systems.
  • Experience with Transportation Management Systems (TMS).
  • Ability to manage multiple shipments simultaneously in a fast-paced, email-heavy environment.
  • Strong communication skills with the ability to coordinate effectively across sales, production, and external logistics partners.
  • High attention to detail with strong organizational skills.
  • Proactive approach to identifying and resolving shipment issues.

Essential Skills

  • Experience supporting customers across multiple global regions such as North America, Latin America, Europe, and Asia.
  • Experience working with freight forwarders, customs brokers, carriers, and trucking partners.
  • Familiarity with technical product documentation, certifications, and compliance-related documentation.
  • Comfort using internal databases and collaboration tools such as SharePoint.
