Main Responsibilities
- Act as the main point of contact for assigned projects, maintaining accurate and up-to-date information in company systems and project event sheets.
- Enter manufacturing orders accurately and on time based on approved estimates.
- Manage multiple projects simultaneously from order receipt through order entry, pre-press, manufacturing, quality review, fulfillment, shipping, and invoicing.
- Serve as the primary Customer Service Representative for accounts supported by assigned Sales Reps or Account Managers, building strong, trust-based relationships through clear and consistent communication.
- Support Sales Reps and AM partners by coordinating and leading internal teams to execute successfully on client projects.
- Ensure timely, transparent communication between internal teams and customers; proactively communicate timelines, scope changes, risks, and delays.
- Collaborate closely with production teams through both desk-based coordination and regular presence on the production floor.
- Monitor inventory levels and issue purchase orders to maintain product availability.
- Translate customer requirements for production facilities to support accurate pricing and efficient manufacturing.
- Document customer or sales-reported complaints in the operating system.
- Aid Sales Representatives and Account Managers with product details, pricing, and process questions.
- Anticipate and respond quickly to customer needs.
- Provide backup coverage for Sales or AM territories when needed.
- Demonstrate flexibility in working with diverse internal and external customer styles.
- Create and maintain SOPs for account-specific processes when needed.
- Identify opportunities for process improvement to enhance the customer experience.
- Represent the company and its products professionally at all times.
Required Qualifications
- A high school diploma or GED.
- Four (4) years of experience in project coordination, operations support, account coordination, or similar roles.
- Strong working knowledge of Microsoft Excel; experience using spreadsheets to track projects, data, and timelines.
- Proficiency in Microsoft Word, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong time management and organizational skills.
Preferred Qualifications
- Experience in print, manufacturing, production, or operations environments.
- Demonstrated problem-solving and follow-up skills.
- Familiarity with estimating, order processing, vendor coordination, or inventory management.
- Experience supporting sales or account teams in a project-based capacity.
