About the role
The Customer Care Specialist I is an entry-level administrative and customer support role that provides assistance across multiple branch operations. This position will support customer communications, incoming calls, estimating, dispatch-related activities, and billing review while providing exceptional service to both customers and field technicians. This is a versatile position designed to provide exposure to multiple areas of the business and opportunities for growth, including potential advancement into a Dispatch role. The ideal candidate is organized, detail-oriented, comfortable using computers, and able to communicate professionally in a fast-paced environment.
Responsibilities
- Answer incoming customer calls and direct inquiries to the appropriate team members.
- Communicate with customers regarding service requests, scheduling, and general inquiries.
- Support estimating activities and follow up on customer communications.
- Assist with dispatch-related responsibilities and communicate pending service needs to the appropriate team members.
- Accurately document customer information, service requests, and call details.
- Manage customer emails and other communications.
- Review completed work for billing accuracy and completeness.
- Provide administrative support across multiple branch functions.
- Handle multiple priorities while maintaining accuracy and professionalism.
- Learn and utilize company systems, Microsoft Office, and other software as needed.
- Work closely with customers, technicians, dispatchers, and branch management.
- Maintain a positive, proactive, and team-oriented approach.
- Support company policies, procedures, and customer service standards.
Requirements
- High school diploma or equivalent.
- 1–2 years of customer service, call center, administrative, or related experience preferred.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Strong computer skills and proficiency with Microsoft Office, including Outlook and Excel.
- Strong data entry and attention to detail.
- Ability to prioritize, multitask, and stay organized in a fast-paced environment.
- Ability to learn new systems and processes quickly.
- Experience in HVAC, plumbing, field service, dispatch, or a related industry is a plus but not required.
