Position Overview
The Customer Care Rep/Dispatcher is the central point of contact between patients and our nurse team. Responsibilities include ensuring smooth booking, confirmation, and execution of appointments, as well as managing the real-time coordination of providers for timely service delivery across all areas.
Key Responsibilities
- Customer Service: Communicate professionally with patients to confirm appointment details and answer questions; ensure all patient information is accurately recorded and up-to-date in our EMR system; and maintain a positive, proactive attitude to ensure a seamless patient experience.
- Scheduling & Coordination: Handle inbound scheduling inquiries and book appointments for IV therapy services; manage and update the scheduling system to reflect availability, locations, and any special requirements; and coordinate and schedule urgent/priority appointments as needed.
- Dispatching & Field Support: Assign providers (nurses/IV specialists) to appointments based on availability and location; and maintain communication with providers in the field to ensure timely arrival and service delivery.
- Problem-Solving: Quickly resolve any scheduling conflicts, last-minute cancellations, or changes in real-time; and provide solutions to logistical challenges, including re-scheduling and emergency staffing needs.
Skills & Qualifications
- Experience: Previous experience in customer service, dispatching, or scheduling is preferred, particularly in healthcare or mobile services.
- Technical Skills: Proficiency in Microsoft Teams and Office Suite, as well as the ability to use a VOIP phone system.
- Communication: Excellent verbal and written communication skills, with the ability to communicate effectively and professionally with patients and team members.
- Organizational Skills: Exceptional multitasking abilities and attention to detail; proven ability to manage and prioritize multiple tasks in a fast-paced environment.
- Problem-Solving: Quick decision-making skills, with the ability to think on your feet and handle unexpected changes or challenges.
- Flexibility: Ability to work evenings, weekends, and holidays as needed to support our 7-day operation.
Pay Range/Benefits
- Pay Range: $18–$22 per hour (based on experience)
