About the role

Working under the supervision of the President of the CT State Tunxis Campus, the Administrative Assistant provides confidential administrative support to the effective and efficient operation of the President’s Office. Essential duties include:

Responsibilities

  • Reception: Screen in-person visitors, emails, and telephone callers; prepare and send correspondence; schedule meetings; manage calendars; prepare meeting notices and agendas; and manage meeting materials.
  • Correspondence and Reports: Compose letters and reports; compile and analyze data; make calculations; and prepare financial reports.
  • Schedule and Operate Video and Audio Calls: Use WebEx and Microsoft Teams to schedule and operate video and audio calls.
  • Committee Support: Staff Board/Campus committees; schedule meetings; post agendas and materials; record meeting proceedings; write minutes; and support committee member engagement.
  • Confidential Records Management: Organize and maintain confidential records in electronic and paper files.
  • Procurement and Budget Management: Develop and submit procurement requisitions; manage vendor invoices; place orders for office supplies, meeting materials, and other goods and services; and assist in developing and administering departmental expense budgets.

Requirements

Minimum Qualifications: A combination of experience and training in a professionally oriented office setting with three (3) or more years of experience. Required Knowledge, Skills, and Abilities: Demonstrated ability to produce quality written materials, organize an office, interact with diverse individuals, communicate effectively, and use Microsoft Office applications. Preferred Qualifications: Associate's degree in Business Administration or related field; five (5) or more years of experience as a secretary or higher; experience providing administrative support to a Dean or higher administrator in higher education; experience with ERP systems such as Banner student information system; bilingual or multilingual proficiency.

Skills

Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams); strong organizational skills; excellent interpersonal, oral, and written communication skills; ability to work effectively with individuals from diverse backgrounds; and familiarity with functional services provided.
