About the role

The Cross-Trained Medical Assistant / Receptionist provides both Front Office and Back Office support to ensure exceptional patient care, operational efficiency, and clinic flow. This position is responsible for scheduling appointments, registering patients, answering phones, verifying patient information, collecting payments, assisting providers with patient care, performing clinical duties, and supporting daily clinic operations.

Responsibilities

  • Welcome all patients and visitors by greeting them in person or on the telephone.
  • Handle all incoming telephone calls from patients, schedule appointments, and answer general questions and inquiries.
  • Use computer systems to refer to existing patient information or set up new patients in the scheduling tool.
  • Maintain registration flow by efficiently moving patients through the process and preparing them for clinical staff using Experity.
  • Interact with patients by answering questions, providing information, and maintaining an organized reception area.
  • Verify insurance and patient demographic information.
  • Explain current fees and patient financial responsibility and collect payments as needed.
  • Follow up with patients regarding missed appointments and patient satisfaction.
  • Maintain general filing systems and files appropriately electronically or manually.
  • Receive, direct, and relay telephone and fax messages.
  • Maintain inventories of office supplies and provide inventory needs to leadership.
  • Maintain confidentiality and safeguard patient information in accordance with HIPAA requirements.
  • Review patient health history and update medical information.
  • Obtain and record patient vital signs.
  • Document patient interactions accurately and timely in the EMR.
  • Confirm patient pharmacy information and update records as necessary.
  • Process prescriptions, laboratory orders, and imaging orders as directed by providers.
  • Ensure diagnosis codes are accurately documented for laboratory and imaging orders.
  • Assist providers during examinations and procedures.
  • Chaperone patient exams when necessary.
  • Adhere to sterile technique and infection control standards.
  • Process laboratory specimens appropriately.
  • Set up examination rooms with appropriate supplies and instruments.
  • Monitor clinic flow and communicate delays to patients and team members.
  • Perform phlebotomy and blood draws when applicable.
  • Ensure laboratory results are reviewed and closed according to established protocols.
  • Maintain clinic cleanliness, organization, and readiness throughout the day.
  • Collaborate with providers, medical assistants, and front office staff to ensure an exceptional patient experience.
  • Perform other administrative and clinical duties as assigned by leadership.
  • Be willing and able to cover Front Office, Reception, Call Center, and Back Office duties as needed.
  • Be willing and able to travel to all clinic locations within the assigned region.

Requirements

  • Medical Assistant Diploma from an accredited school/program required.
  • High School Diploma or GED required.
  • Minimum of one (1) year of relevant experience and/or training in a medical office, urgent care, physician office, customer service, receptionist, or medical assistant role.
  • Knowledge of multi-line phone systems.
  • Proficient in computers and relevant software applications, including electronic medical records and practice management systems.
  • Knowledge of customer service principles and practices.
  • Demonstrated initiative and strong organizational skills.
  • Exceptional interpersonal communication skills with a positive tone and welcoming demeanor.
  • Ability to work independently on assigned tasks as well as accept direction on given assignments.
  • Ability to handle confidential information with discretion and sound judgment.
  • Must be able to sit for long periods of time and have the manual dexterity to work computer systems and keyboards.
  • Must be able to have face-to-face conversations with patients and staff.
  • Must be able to lift up to 25 pounds.
  • Reliable transportation and willingness to travel throughout the assigned region.
