About the Role

This position coordinates, oversees, and manages accounts receivable and collection duties. Responsibilities include approving or declining credit lines, conducting credit investigations, following proper credit approval procedures, and ensuring delinquent accounts are contacted with appropriate collection procedures.

Responsibilities

  • Supervises, directs, and leads assigned staff, addressing employee concerns, directing work, and providing guidance to ensure efficient office and credit operations.
  • Manages and oversees accounts receivable and collection activities.
  • Reviews and evaluates credit applications; investigates and verifies financial status and reputation of prospective customers; recommends approval or rejection of credit applications and establishes credit limits.
  • Contacts customers via telephone or text to resolve overdue payments; reviews terms of sales, service, or credit contracts; mails late charge notices; travels to customers’ homes for collections; assists with repossessions as necessary; ensures payments are posted to customer accounts.
  • Documents all correspondence and attempted correspondence with customers regarding accounts.
  • Reviews and analyzes collection reports to evaluate the status of collections and the effectiveness of current policies.
  • Organizes collection workload based on delinquency degree and amount; delegates accounts to staff for collection.
  • Prepares paperwork for legal action against severely late-paying customers; submits delinquent accounts to attorneys or outside agencies with Store Manager approval.
  • Maintains customer files in a fireproof cabinet, organized alphabetically and by account status (Active, Paid Out, Charge-Off, Repo, Bankrupt) in a secure, non-public area.
  • Ensures customer files remain in the office area and are never handled, used, or stored on the sales floor.
  • Follows procedures for handling customer files and personal information.
  • Ensures daily bookkeeping workload, including customer files, is filed by the end of each business day using the company’s Bookkeeping Checklist.
  • Deposits all cash receipts into the store’s bank account daily using a night deposit bag; secures cash drawers in a bank night depository when possible.
  • Locks cash drawers when unattended and ensures keys remain with the assigned employee.
  • Collects on returned checks and delinquent accounts.
  • Maintains a work environment free of discriminatory practices and sexual harassment.
  • Completes, prepares, reviews, or approves forms, logs, records, reports, and correspondence related to daily responsibilities; maintains accurate files and administrative records.
  • Operates office equipment such as calculators, copy machines, and telephones.

  • Performs duties of the Store Manager as required; assists in other store departments as needed.

Requirements

  • High School Diploma or GED required.
  • Three years of experience in accounting/bookkeeping, loan processing, and/or collections, or a combination of training, experience, and education providing the required knowledge, skills, and abilities.
  • Valid State Driver’s License.

  • Mathematical Aptitude: Ability to perform addition, subtraction, multiplication, division, calculate decimals, percentages, and fractions, and interpret graphs.
  • Functional Reasoning: Ability to interpret written, oral, diagrammatic, or schedule-based instructions; apply principles of rational systems; and exercise independent judgment.
  • Situational Reasoning: Ability to exercise judgment, decisiveness, and creativity in evaluating information against sensory, judgmental, or subjective criteria.

Physical Demands and Work Environment

  • Physical Ability: Tasks require moderate physical effort, including climbing, balancing, stooping, kneeling, crouching, crawling, and lifting/carrying objects weighing 12-50 pounds.
  • Sensory Requirements: Ability to perceive and discriminate colors, sounds, depth, and visual cues; ability to communicate orally.
  • Environmental Factors: Exposure to dirt, dust, temperature extremes, electric currents, or toxic agents/chemicals may occur.
