About the Role
The Courtroom Clerk will operate under the guidance of the Judge/Magistrate and will be essential in facilitating the efficient functioning of courtroom proceedings. This role assists the Judge/Magistrate in administrative duties, scheduling meetings, and court hearings. It demands an individual who is initiative-driven, highly skilled in administrative tasks, and able to multitask efficiently while displaying outstanding customer service in a dynamic atmosphere.
Responsibilities
- Courtroom Operations:
- Ensure order and decorum in the courtroom and timeliness of proceedings.
- Manage all facets of courtroom operations, including ensuring all parties are present for in-person or virtual hearings.
- Test and utilize audio/visual equipment, prepare physical case files, and ensure all necessary documentation is accurate and available.
- Administrative Duties:
- Perform a variety of administrative tasks, such as scheduling hearings using advanced technologies, maintaining calendars, and preparing/reviewing documents to support court operations, primarily for specialized dockets and juvenile matters.
- Prepare and maintain accurate records, including entries, tracking, compliance, and other legal documents, ensuring adherence to legal standards and confidentiality requirements.
- Complete purchase and reimbursement requests, make travel arrangements, and plan outings.
- Assist in maintaining data for court programming when required.
- Retrieve physical records from storage facilities and return them as needed.
- Perform any other special duties as required.
- Customer Service:
- Provide exceptional service to court visitors, including attorneys, witnesses, and the public, by answering inquiries and providing information about court procedures.
- Direct individuals to appropriate resources and foster a welcoming, respectful environment, particularly for youth and families involved in juvenile cases.
- Collaboration and Communication:
- Work closely with court personnel, including judges, magistrates, attorneys, and social workers, to facilitate effective communication and coordination of services related to juvenile/probate cases.
- Participate in team meetings and contribute to discussions on improving court processes and services.
- Technology Utilization:
- Utilize court management software and other technology tools to streamline processes, manage case information, and enhance overall efficiency.
- Stay updated on technological advancements that can improve courtroom operations and administrative functions.
- Continuous Improvement:
- Stay informed about changes in juvenile law and court procedures.
- Actively participate in training and professional development opportunities to enhance skills and knowledge.
- Identify areas for improvement in courtroom operations and suggest solutions to enhance efficiency and service delivery.
Requirements
- Bachelor’s Degree or Paralegal certification preferred.
- Strong administrative writing skills, reporting skills, scheduling, organization, time management, presentation skills, equipment maintenance, travel logistics, and verbal communication.
- Good memory power and ability to work well as a member of a team.
- High patience level and capability to work extra hours when needed.
- Proficiency with Zoom, Microsoft Office Suite, Adobe, and Case Management databases.
