About the Role
The Washington County Circuit Court in Hillsboro, Oregon, is hiring a Court Operations Specialist to join the Judicial Support Department. In this role, you will provide courtroom support to a judge by preparing the courtroom and daily dockets, operating and monitoring digital recording equipment, completing log notes, and filling out forms, orders, and judgments. You will swear in witnesses and jurors, process exhibits, verify pleadings, research case statuses, and enter orders into the record. You will also schedule and facilitate remote hearings, act as a bailiff to monitor security, and serve as the main point of contact for the office.
In chambers, you will perform data entry, maintain multiple calendars, arrange for exhibit disposal, draft letters, prepare orders, and proofread correspondence. You will help track cases and documents, manage the assigned caseload, and handle the distribution of files, mail, documents, and supplies. Your support will be provided in person, over the phone, and through email. Assigned tasks may change to accommodate workload and organizational needs.
Responsibilities
- Prepare courtrooms and daily dockets for judicial proceedings.
- Operate and monitor digital recording equipment, complete log notes, and fill out forms, orders, and judgments.
- Swear in witnesses and jurors, and process exhibits.
- Verify accuracy and completeness of pleadings submitted to the court.
- Research the status of cases and enter orders into the record.
- Schedule and facilitate remote hearings.
- Act as a bailiff to monitor security concerns in the courtroom.
- Perform data entry and maintain multiple calendars in chambers.
- Arrange for the return or disposal of exhibits.
- Draft letters, prepare orders, and proofread and distribute correspondence.
- Track cases and documents, manage assigned caseloads, and handle files, mail, documents, and supplies.
- Serve as the main point of contact for the office, answering questions about pending motions, outstanding rulings, and scheduled hearings.
- Prevent ex parte contact with the judge.
Requirements
- High school diploma or equivalent.
- Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the required knowledge, skills, and abilities for this position.
- Any combination of education and experience equivalent to four (4) years that supports the required knowledge, skills, and abilities.
Skills
- Experience performing clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
- Proficiency using a variety of software programs to access and input information, coordinate schedules, and maintain calendars.
- Experience providing customer service to individuals in challenging circumstances.
- Ability to explain processes, procedures, or policies clearly.
- Skill in writing and reviewing documents for accuracy, content, grammar, and punctuation.
- Bilingual skills in Spanish (including ASL) are preferred but not required. Bilingual employees may receive a 5% allowance upon passing a skills test and using those skills on the job.

Pay
Salary range: $4,765 - $7,392 per month. New hires are offered up to the fourth step of the salary range, depending on experience.
Schedule
Full-time position with a work schedule of 8:00 a.m. to 5:00 p.m., Monday through Friday. Overtime compensation is available for hours worked in excess of 40 per workweek. Occasional after-hours or overtime work may be required.

- Regular interaction with individuals who may be angry, confused, or facing criminal charges.
- Responsibilities and physical work location may change when judge and docket assignments rotate every couple of years.
- Long periods of sitting or standing at a computer.
- Regular use of electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
