About the role

The Cost Administration Coordinator monitors variance between actual and budgeted costs for projects, accurately enters and reviews job cost information into the database, and provides ad hoc reporting to assist local management in decision-making or other financial initiatives. The role also includes performing various office administration duties as needed.

Responsibilities

  • Ensure projects are established in the accounting system aligning with contractual requirements.
  • Gather and consolidate WBS/Cost Code information and prepare files for upload.
  • Review project month-end cost-to-date and other job cost reports for management.
  • Work closely with Accounting Shared Services to review and confirm invoicing aligns with executed agreements.
  • Assist in rate development for assigned proposal efforts.
  • Enter change orders to projects in database and spreadsheet applications; update approved budgets accordingly.
  • Prepare and submit progress reports to clients for assigned projects.
  • Create journal entries.
  • Generate and analyze cash flow schedules.
  • Support supervision through the preparation, updating, and maintenance of project forecasts, progress, change order logs, schedules, and analysis of supporting data.
  • Upload documents to SharePoint in a timely manner.
  • Perform other duties or responsibilities as required or assigned.

Requirements

  • 3+ years of related experience with a basic understanding of cost accounting principles and procedures, or a bachelor’s degree in Accounting, Finance, or a related field. A mix of some college with experience will also be considered.
  • Proficient computer skills in Microsoft Excel, Outlook, and Word, with knowledge of various database applications.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills, both written and verbal; ability to interact with individuals internally and externally at various organizational levels.
  • Ability to travel as required.
