Responsibilities
- Assign inmate numbers
- Interview inmates and enter identifying data into the DOTS Portal system
- Pre-screen commitment papers and provide information to BOSC on possible same-day releases and imminent releases
- Receive and transfer inmate records to parent institution, Bureau of Sentence Computation, and Central Office Records
- Prepare inactive records for shipment to central warehouse
- Audit and store master records for inmates released under supervision
- Coordinate inmate movements to other institutions and scan documents into OnBase document management system
- Maintain population count to balance with DOTS Portal Snapshot views and the institution Count Officer
- Coordinate the physical release of inmates when authorized by BORM
- Enter status and reason codes into DOTS Portal
- Respond to inmate inquiries
- Complete other bureau functions as assigned
Requirements
- Formal education in arithmetic (addition, subtraction, multiplication, division, fractions, decimals, and percentages)
- Formal education in reading, writing, and speaking common English vocabulary
- One course or three months of experience in records management (e.g., record retention, document management, confidentiality)
- Equivalent combination of education and experience as noted in the Minimum Class Qualifications for Employment
