Corporate Receptionist
About the role
The receptionist will be responsible for providing a friendly, professional first impression to both staff and visitors via face-to-face, email or telephone. The ideal candidate will be self-motivated, highly organized, and can multi-task within diverse demands. This individual will create efficiency in their daily workflow, maintain office morale, and provide clerical support within the organization.
Essential Duties And Responsibilities
- Greets, announces and verifies all guests, in-person or telephone; answering or referring inquiries
- Directs visitors by maintaining employee and department directories; giving instructions
- Willing and able to have a mainstay presence at the receptionist's desk during business hours (Mon-Fri, 8a-5p CT)
- Enforces office security by following procedures; issuing and retrieving visitor badges
- Maintains safe, clean office and reception areas by complying with office procedures, rules, and regulations
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
- Contributes to team effort by accomplishing related results as needed
- Responds to incoming calls, transfer to appropriate personnel, distribute messages, interact with customers, distributors and vendors
- Places and distributes orders for office, kitchen and food supplies
- Maintains regular, consistent and professional attendance, punctuality, and personal appearance
- Manages, organizes, and updates relevant employee data, contact lists, and in-house library of pertinent materials
- Pick-up, sort and distribute incoming and outgoing mail and deliveries on a daily basis
- Assists in administrative problem solving, program/project planning, development, execution of stated goals and objectives
- Meeting coordination, conference trade shows, program functions and/or special events assistance
- Create, compose and edit administrative correspondence and documentation
- Monitors, reconciles, and assists with day-to-day administration of all areas, including, but not limited to, expense reports, travel arrangements, conference room calendar maintenance, creating and maintaining files, etc.
- Performs diverse range of administrative activities for department; serves as a central point of liaison with other areas and external constituencies in the resolution of a variety of day-to-day matters
- Material preparation assistance, i.e., agendas, PowerPoint presentations, EXCEL spreadsheets, etc.
- Perform other duties as deemed necessary and subject to change at any given time
Qualifications And Skills
- Requires at least 5+ years of relevant experience
- High School Diploma required; Bachelor's degree a plus
- Physically able to perform; frequent lifting up to 25 pounds, bending, climbing stairs, pulling, prolonged standing or sitting, etc.
- Proficient in Microsoft Office applications (Outlook, PowerPoint, EXCEL, and Word); Adobe Creative Suite a plus
- Excellent organizational skills
- Solid verbal and nonverbal communication skills; above average interpersonal skills
- Ability to work with several individuals, as part of a team, and take direction from various sources simultaneously
- Ability to communicate within all levels in organization, take initiative, and possess dependability
- Ability to handle multiple simultaneous, time-sensitive projects
- Maintains confidentiality in all matters
- Applicants must possess a valid driver's license and maintain a clean driving record, as this position requires occasional travel for company business. Candidates should be comfortable operating a vehicle as part of their job responsibilities and must meet any applicable company and insurance requirements.
Pay
$16.50 - $21.50 an hour
