Job Summary

The Corporate Legal Administrative Manager oversees and organizes the daily workflow of legal administrative assistants supporting transactional practice areas, including corporate, M&A, tax, and real estate. This role ensures the administrative team adheres to established procedures and protocols while operating at a high level of efficiency and accuracy. The coordinator collaborates with team members to enhance processes, improve workflow, and deliver high-quality support to attorneys and legal staff.

Essential Duties and Responsibilities

  • Supervise and coordinate the daily workflow of transactional legal administrative assistants, including monitoring the Attorney Support Portal to ensure timely and efficient task completion.
  • Evaluate administrative processes and procedures, identify improvement opportunities, and recommend enhancements.
  • Foster a collaborative, team-oriented environment that promotes strong working relationships.
  • Oversee and maintain resource materials in Teams, ensuring information remains current and accessible.
  • Conduct performance evaluations; provide mentorship, guidance, and knowledge sharing to team members.
  • Support recruitment efforts, including interviewing, onboarding, and training new hires.
  • Manage employee timecards, time-off requests, and remote work arrangements.
  • Legal Administrative Support:
    • Prepare and assist attorneys with legal documents and general correspondence, ensuring accuracy and timeliness; perform extensive editing, proofreading, and redlining of contracts, agreements, and corporate filings.
    • Cook up and organize closing materials, including preparation of closing binders.
    • Draft routine correspondence and format legal documents.
    • Manage attorney calendars, schedule meetings, and coordinate travel arrangements.
    • Accurately enter attorney time into the firm's timekeeping system.
    • Maintain both physical and electronic client and administrative files in compliance with internal procedures and document management systems.
    • Handle additional administrative tasks such as conflict checks, new client and matter intake, billing support, mail distribution, and expense and reimbursement processing.
