Corporate Document Control Coordinator

Essential Functions

  • Manage and maintain the electronic and hard-copy document control system, ensuring all documents are accurately indexed, stored, and easily retrievable.
  • Oversee the entire document lifecycle, including creation, review, approval, distribution, revision, and archival/disposal of controlled documents (e.g., policies, procedures, work instructions, forms, specifications).
  • Ensure all document control processes adhere strictly to the requirements of the company's certified ISO standards.
  • Participate in internal and external ISO audits as the subject matter expert for document control.
  • Process and track all document change requests (DCRs), ensuring proper authorization and impact assessment before new revisions are released. Maintain a comprehensive revision history and audit trail.
  • Provide training to employees on document control procedures and the effective use of the DMS. Act as the primary point of contact for all document control inquiries.
  • Maintain the Master Document List (MDL) or equivalent register, ensuring it is current and reflects the status and location of all controlled documents.

This position has no direct reports.

Work Environment

  • Well-lighted, heated and/or air-conditioned indoor office
  • Production setting
  • Outdoor/indoor shop environment or enclosed vehicle with adequate ventilation and protection from extreme weather conditions
  • Outdoors exposed to changing and/or extreme weather conditions (for instance, rain, sun, snow, wind, humidity, etc.)

Physical Demands

  • Light physical activity performing non-strenuous daily activities of an administrative or production/technical nature
  • Manual dexterity sufficient to reach and handle items

Position Type/Expected Hours of Work

  • This is a full-time position.
  • Days and hours of work are primarily 8 hours each day, Monday through Friday on a day shift.
  • This position often requires overtime.

Travel

  • No travel requirements for this position.

Required Education And Experience

  • Minimum of 3-5 years of experience in a dedicated document control role in an ISO-certified environment.
  • Experience with eDMS platforms and compliance requirements.

Preferred Education And Experience

  • Associate or Bachelor's degree, preferred.
  • Knowledge of ISO standards and audit processes.
  • Experience supporting multi-site document control programs.
  • Basic personal computer skills.

Computer Operations

  • Basic personal computer skills.

Work Authorization/Security Clearance

  • Must be able to obtain TWIC badge (Transportation Working Identification Card).
