Overview

The Benefits Administrator is responsible for the day-to-day administration of employee benefit programs, including medical, dental, vision, life insurance, disability, retirement plans, and voluntary benefits. Reporting to the Corporate Benefits & Compensation Manager, this role serves as a key resource for associates, ensuring accurate benefit enrollments, compliance with plan provisions, and exceptional customer service.

Responsibilities

  • Administer employee benefit programs, including medical, dental, vision, life insurance, disability, retirement, and voluntary benefit plans.
  • Serve as a point of contact for associates and HR Business Partners by providing guidance on benefit programs, eligibility requirements, enrollment procedures, and plan provisions.
  • Manage and respond to associate inquiries through the benefits ticketing system, providing exceptional customer service and timely issue resolution.
  • Review and process benefit enrollments, qualifying life events, status changes, terminations, and other benefit transactions in a timely and accurate manner.
  • Maintain employee benefit records within the HRIS and benefits administration systems, ensuring data accuracy and integrity.
  • Conduct routine audits of benefit enrollments, eligibility records, and payroll deductions to identify and resolve discrepancies.
  • Support dependent eligibility verification efforts through employee outreach, documentation tracking, and coordination with vendors to maintain accurate enrollment records.
  • Follow up with associates regarding missing or invalid Social Security Numbers and assist in obtaining required information to support accurate benefits administration and regulatory compliance.
  • Collapse COBRA-related activities, including qualifying event notifications, vendor communication, and employee support regarding continuation of coverage options.
  • Aid with ACA compliance processes by supporting eligibility audits, maintaining accurate employee records, and preparing data for annual reporting activities.
  • Collaborate with payroll, vendors, and internal stakeholders to ensure accurate benefit deductions, premium payments, and enrollment records.
  • Support new hire onboarding and orientation activities by educating associates on available benefit programs and enrollment requirements.
  • Assist with the planning, coordination, and execution of the annual open enrollment process, including employee communications, enrollment support, and post-enrollment audits.
  • Process and respond to Medical Support Notices and other benefit-related notifications in accordance with established procedures.
  • Support employee wellness initiatives by assisting with benefit fairs, wellness campaigns, and associate engagement activities.

Qualifications

  • Associates or Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience may be considered.
  • Minimum 2 years of experience in benefits administration, insurance or HR.
  • Basic understanding of state and federal laws related to insurance and retirement plans.
  • Strong organizational and communication skills.
  • Customer service-oriented, with the ability to handle sensitive information confidentially.
  • Proficient in Microsoft Office, especially Excel.
  • Willingness to learn new systems and processes (experience with Dayforce is a plus).
