Schedule

30–40 hours per week, flexible daytime working hours between 6 am–5 pm, Monday through Friday. Hours may be reduced if work is completed and no additional help is needed.

Responsibilities

  • Order Management: Handle inbound/outbound calls, create, process, and track patient orders, including backorders, cancellations, damages, and lost orders.
  • Assist team members with tasks such as contacting patients, obtaining documentation from healthcare providers, and distributing informational materials.
  • Cross-Department Collaboration: Coordinate with internal teams such as Authorizations and Fulfillment to facilitate efficient workflow and support ongoing goals.
  • Delivery Coordination: Support the Fulfillment Manager with order assignments, patient deliveries, service requests, and packaging/shipping orders from inventory when necessary.
  • Inventory Management: Assist the Fulfillment Manager in monitoring stock levels, conducting physical inventory counts, and placing restocking orders.
  • Data Entry: Enter and update patient records in Brightree, manage order templates, and upload documentation into Brightree or OneDrive.
  • Specialized Tasks and Projects: Oversee and execute assignments requiring advanced knowledge and experience while ensuring alignment with organizational objectives.

Qualifications

  • Previous experience in data entry, purchasing, or a similar role, preferably in a Durable Medical Equipment (DME) office or other medical environment.
  • Proficiency with Microsoft Office and familiarity with Brightree DME database or similar software.
  • Excellent interpersonal, communication, and customer service skills, with strong phone etiquette.
  • Strong organizational skills, attention to detail, and ability to multitask, adapt, and prioritize duties.
  • Self-motivated with the ability to identify and complete tasks independently with minimal supervision.
