About the role
This non-exempt (hourly) position reports to the Executive Director, Donor Experience and Events. The Coordinator, Stewardship & Donor Experience is responsible for collecting, maintaining, analyzing, and updating data to support cultivation, recognition, and stewardship. The role involves assessing and implementing recognition society benefits and supporting the Stewardship and Donor Experience team in creating meaningful donor experiences to advance the philanthropic goals of UC and UC Health.
Responsibilities
- Assist the Executive Director of Donor Experience and Events with recognition and engagement strategies for annual, lifetime, and planned giving donors.
- Assist with the implementation of central recognition programs and experiences, ensuring meaningful engagement with assigned units and collaborative projects.
- Audit and maintain constituent records in the CRM pertaining to recognition status, preferences, and changes; collaborate with the Information & Enterprise Risk team to address data and reporting issues.
- Ensure recognition acknowledgements are updated annually and sent out in a timely manner.
- Assist with maintaining and updating individual stewardship plans in the CRM.
- Support the auditing and maintenance of data related to scholarship and impact reporting in collaboration with internal partners.
- Manage communications through the general Stewardship and Donor Experience email and phone number.
- Maintain and update the internal Stewardship and Donor Experience intranet page for internal partners.
- Manage team inventory of premium items used for cultivation, stewardship, and donor engagement.
- Assist with Stewardship and Donor Experience team strategies that communicate impact to donors.
- Support events for UC and UC Health donor stewardship and fundraising initiatives.
- Build strong working relationships with internal and external partners to fulfill recognition benefits, including parking, event invitations, and donor touchpoints.
- Collaborate with partners to create consistent, best-in-class donor recognition.
- Assist with team budgets, including check requests, purchase orders, and contract approval.
- Fulfill team requirements for reporting and supporting organizational and performance-based goals.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree preferred and at least 1 year of professional experience or an equivalent combination of education and related experience.
- Prior experience with event planning, nonprofit, or higher education is preferred but not required.
- Proven ability to handle, update, and maintain sensitive information in a confidential, timely, and professional manner.
- High level of accuracy and attention to detail; excellent oral, written, and interpersonal communication skills.
- Ability to interact courteously, positively, and professionally with diverse internal and external constituents and foster strong, productive relationships.
- Ability to prioritize effectively to meet multiple competing deadlines.
- Able to work non-traditional, flexible hours, including evenings, weekends, and travel as needed for events.
- Valid driver’s license and access to a vehicle required for travel.

Pay
The anticipated starting hourly rate range for this role is $20.50 to $23.50. Final offer amounts consider factors such as scope and responsibilities, candidate’s work experience, education/training, key skills, internal peer equity, external market data, and business considerations.

Physical Demands
This position is considered medium work, requiring exertion of up to 50 lbs. of force occasionally, up to 30 lbs. frequently, and up to 10 lbs. constantly to move objects. The role involves:
- Operation of a motor vehicle.
- Climbing, standing, walking, pushing, pulling, reaching, and lifting.
- Finger use, talking, hearing, and repetitive motion of the wrist, hands, and/or fingers.
While performing duties, this position is subject to outside environmental conditions and indoor conditions.
