Responsibilities

  • Coordinate undergraduate research programs from planning through implementation, including timelines, student participation, and deliverables
  • Serve as a liaison among students, faculty mentors, university offices, and external partners to support smooth program execution
  • Support program expansion efforts by managing operational workflows that scale with increased participation
  • Manage student contracts, appointments, and related documentation in coordination with HR and payroll
  • Maintain accurate databases tracking undergraduate research participation, outcomes, and assessment metrics
  • Aid in internal and external reporting, assessment activities, and data collection tied to institutional priorities and sponsored programs
  • Oversee daily office operations for the Office of Undergraduate Research
  • Maintain organized digital and physical records, files, and compliance documentation
  • Serve as a payroll and administrative liaison, including time entry coordination and scheduling support
  • Assist with tracking undergraduate research-related expenditures and funding allocations
  • Cook up logistics for undergraduate research workshops, symposia, and professional development activities
  • Support special projects and continuous process improvement initiatives to enhance efficiency and effectiveness within OUR
  • Provide flexible administrative support as new undergraduate research initiatives are launched

Requirements

  • Bachelor’s degree in an appropriate area of specialization and two years of relevant experience, or Master’s degree in an appropriate area of specialization

Qualifications

  • Knowledge of undergraduate research programs, high-impact educational practices, and student development in higher education
  • Understanding of university administrative processes, including HR, payroll, purchasing, and travel
  • Familiarity with data management systems, program assessment, and reporting tools
  • Knowledge of federal and institutional compliance requirements (e.g., FERPA, IRB, HIPAA) and grant-funded program operations
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills to effectively engage students, faculty, and partners
  • Proficiency in data tracking, analysis, and reporting using tools such as Excel and databases
  • Demonstrated financial and administrative coordination skills, including budgeting, purchasing, and travel logistics
  • Strong problem-solving, attention to detail, and customer service skills

    This is an Administrative and Professional (A&P) position.
