Responsibilities

  • Coordinate T-shirt and merchandise programs for Signature Programs, including design coordination, ordering, quantity management, fulfillment, and cost allocation for up to 40 concurrent and overlapping Race and Walk events, as well as print-on-demand partnerships.
  • Source, order, and coordinate event materials, signage, recognition items, and mission programming elements for all Signature Programs across local markets, ensuring accurate coordination of quantities, production, delivery, and event-specific needs.
  • Develop and maintain tools and resources for local markets to manage event needs, deadlines, quantities, and deliverables for T-shirts, signage, and other materials.
  • Manage project timelines and provide consistent follow-up with local market staff, vendors, agency partners, and internal teams to ensure deliverables are completed on schedule.
  • Build and maintain strong relationships with external vendors and agency partners to ensure prompt communication, competitive pricing, accurate cost tracking, quality products, and timely delivery.
  • Support sponsor activation and event branding by coordinating the submission and approval of Race T-shirt back artwork and custom signage, ensuring adherence to deadlines and production requirements.
  • Code and process invoices, track payment due dates, and confirm payment processing while maintaining accurate financial records and cost tracking.
  • Partner with the 3-Day team to coordinate event-specific recognition pieces, honor materials, signage, and other program needs.
  • Support recurring team meetings and administrative coordination, including preparing materials and tracking follow-up items.
  • Complete day-to-day administrative and operational functions to support assigned programs and events.
  • Perform other duties as assigned.

Requirements

  • 2-5 years of experience in innovative fundraising, event operations, or a related field with outstanding results.
  • Working knowledge of systems and tools like Salesforce, Asana, and Blackbaud’s Luminate Online, with the ability to quickly learn new systems.
  • Experience with budgeting basics and proficiency with numbers.
  • Proficiency in Microsoft Office, with advanced skills in Excel.
  • Exceptional resourcefulness and problem-solving abilities.
  • Outstanding written and verbal communication skills.
  • Ability to support a strategic business plan and understand how tactical activities contribute to overall success.
  • Ability to evaluate processes and systems, making recommendations for improvements.
  • Strong project management skills, including managing multiple detailed projects with varying priorities and timelines.
  • Collaborative team player willing to contribute in a highly cooperative environment.
  • Excellent attention to detail, planning, organization, and follow-up skills.
  • Ability to manage relationships across teams and vendors, connecting dots organization-wide and interacting with internal “customers” in local markets.

Preferred Qualifications

  • Advanced proficiency in Excel and Microsoft Office.
  • Working knowledge of Salesforce, Asana, and Luminate Online.
  • Ability to quickly learn new systems and tools.
  • Travel requirements up to 25% or less, depending on business needs.

Pay

Approximate hourly rate: $21.03–$26.67. Exact compensation is based on factors such as skills, experience, labor market, job level, internal equity, and budget.
