Job Summary

The Coordinator for Traditions and Events plays a crucial role within the Division of Student Affairs at the University of Pittsburgh, focusing on fostering school spirit, community engagement, and student leadership development through events and programs integral to the student experience.

About the Role

This position is essential for coordinating official events and other events both in-person and virtually, overseeing vendors, event components, budget, and marketing. Key responsibilities include managing event logistics, vendor coordination, budget management, and promotional activities.

Responsibilities

  • Coordinate official events such as academic, community, and/or stewardship-type ceremonies, receptions, and donor/friend recognitions, as well as conferences, seminars, lectures, meetings, and reading groups.
  • Oversee and coordinate University efforts and/or external vendors for catering, police, audiovisual, facilities management, parking and transportation, risk management, budget accounting, photography, student leadership, volunteers, and outside service and material providers.
  • Manage guest lists and invitations, prepare budgets, and develop event components. Assist sponsors with event budgets.
  • Manage promotions, public relations, and marketing of events.

Requirements

  • Strong organizational and project management skills.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in budget management and financial reporting.
  • Ability to work collaboratively with various stakeholders, including students, faculty, staff, and external partners.
  • A deep understanding of student development theories and best practices in student programming and leadership development.

Qualifications

  • Bachelor's Degree.
  • Minimum of 3 years of relevant experience.

Work Environment

This position may require evening and weekend hours in support of major campus events and programs. Moderate physical effort required, including standing and moving for several hours at a time, and moving objects up to 50 pounds.

Work Schedule

Monday - Friday, 8:30 a.m. - 5:00 p.m. Hybrid: Combination of On-Campus and Remote work as determined by the department.

Background Checks

Prior to commencement of employment and as a condition of continued employment, the following PA Act 153 clearances and background checks are required:

  • PA State Police Criminal Record Check
  • FBI Criminal Record Check
  • PA Child Abuse History Clearance
