Under the general supervision of the Senior Contracts Manager, the Contract Biller manages contract billing and collections, pursues payment of all claims, and performs related tasks such as monthly invoicing and annual budget preparation.

Little Flower Children and Family Services of New York is a human services nonprofit supporting the well-being of children, youth, families, and individuals across New York City and Long Island since 1929. Our staff of more than 500 provides prevention services, foster care, residential treatment care, adoption services, programs for individuals with developmental disabilities, and medical and mental health services.

Responsibilities

  • Prepare monthly invoices and required supporting documentation.
  • Initiate discussions with funding-source representatives to resolve open issues.
  • Assist in analyzing staffing patterns and available contract dollars.
  • Maintain tracking forms for Little Flower programs to ensure census and financial accuracy for various state agencies.
  • Prepare entries for monthly contract program and grant revenue.
  • Prepare budgets, analyses, and projections for existing and proposed contract programs and grants.
  • Compare actual expenditures with budgets, advise supervisory and program staff of variances, and recommend budget modifications.
  • Prepare budget modifications and billing statements in the format and timeframe required by funding sources.
  • Maintain backup documents and analyses to substantiate billing statements.
  • Compile and analyze financial information for journal entries and process them.
  • Prepare schedules and documents to support billings and modifications as requested by agency and funding-source managers.
  • Provide support for department projects as needed.

Requirements

  • Bachelor’s Degree in Accounting or a closely related field preferred.
  • Minimum of two years of related experience in accounting and finance, with strong GAAP knowledge.
  • Experience with governmental contracts and private grant funding.
  • Proficiency in Microsoft Office products (Excel, Word, PowerPoint).
  • Analytical and quantitative thinking skills.
  • Strong verbal and written communication skills for all levels of agency staff and funders.
  • Ability to multitask, meet deadlines, and manage time effectively.
  • Good planning and organizational skills to balance and prioritize work.
  • Understanding of and adherence to regulatory requirements governing the position.
  • Ability to work under pressure and adjust to urgent situations.
  • Ability to continuously sit at a desk and look at a digital device screen.
  • Ability to frequently walk, bend, and reach.
  • Ability to frequently engage in repetitive motions and tasks using both hands.

Schedule

Full-time, 35 hours per week, hybrid work schedule based in Wading River, NY. Occasional work outside of normally scheduled hours may be required.
