Job Summary

The EPC (Engineering, Procurement, and Construction) Contracts Specialist at Flintco is responsible for managing, administering, and supporting contracts throughout the project lifecycle. This role ensures compliance with contract terms, mitigates risks, supports procurement activities, and coordinates with project managers, legal teams, subcontractors, and clients to achieve successful project execution.

Responsibilities

  • Assisting pre-construction team(s) in maintaining records and daily reports, as well as advising of gaps between the records and what the EPC contract
  • Maintaining multiple trackers including, contract exhibits, NDA’s, proposal deadlines and meeting minutes, both upstream with the client and internally with stakeholders in multiple departments, alerting applicable teams of the deadlines to respond in line with the turnarounds set out in the Agreement.
  • Maintain regular communication with department managers to support preconstruction, EPC contracts and procurement tracking through to execution.
  • Absorb and assist in creating final package agreements, requests for proposals, confidentiality agreements, pre-bid agreements, EPC contracts, and contract exhibits.
  • Absorb and assist in managing the negotiation, internal review process, and tracking of all contract documents.
  • Absorb and assist in identifying, documenting, and quantifying changes in the documents and coordinating additional efforts to facilitate acceptance of such documents.
  • Maintain organization and cleanliness of Clients document sharing platform as well as company file sharing platform.
  • Provide updates reflecting contract changes and commercial correspondence to support weekly and monthly department reporting.
  • Absorb and assist in documenting and tracking all changes to commercial document templates and circulate to affected parties.
  • Prepare documentation from the direction of the Director of EPC Contracts or from approved Managers, i.e. general/confidential correspondence, presentations, RFQ’s, spreadsheets, meeting minutes, etc.
  • Facilitate non-disclosure Agreement (NDA) completion with subcontractors, vendors and consultants, update, maintain and ensure accurate tracking of non-disclosure Agreements and coordinate with the legal team as necessary.
  • Absorb and assist in organizing and maintaining paper and electronic file systems, including files that require the utmost confidentiality.
  • Organize electronic documents and files, including archiving or purging.
  • Prepare documentation based on the directions of the Director of EPC Contracts, or senior level EPC Contracts Specialists including preparation of various monthly reports.
  • As needed, support subcontracting efforts with review and coordination with subcontractors.
  • Schedule appointments and coordinate internal and external meetings.
  • Recognize safety as a top priority of the organization, wear personal protective equipment on the project site, adhere to policies and procedures, deliver professional customer service, adopt a teamwork approach, and willingly support coworkers.

Knowledge/Skills/Ability

  • Possesses strong communication skills with the ability to build client relationships.
  • Assembles routine reports and correspondence provided by others.
  • Identifies and addresses problems.
  • Collections of data, confirms facts and data to draw valid conclusions.
  • Organizational skills with attention to detail, time management skills to support for efficiency.
  • Proficient in Microsoft Office Suite.
  • Strong knowledge of EPC contracting principles and contract law.
  • Experience reviewing contract terms, conditions, and risk allocation.
  • Understanding of procurement and subcontract management processes.

Requirements

  • Education: Bachelor's degree in Business Administration, Construction Management, Engineering, Supply Chain Management, Law, or a related field.
  • Experience: 3-5 years related years of contract administration experience, preferably in EPC, construction, energy, industrial, or infrastructure projects.
  • Familiarity with contract types such as lump-sum, cost-reimbursable, and unit-rate contracts.

Physical Requirements

  • While performing the duties of this position, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.
  • The employee is occasionally required to sit and smell.
  • The employee must occasionally lift and/or move up to 30 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Occasionally, especially when managing multiple projects and during problematic opening and/or closing phases of projects, mental stress can be taxing.
  • May be required to work long hours for extended periods of time.
