About the role

The Contract Administrator provides comprehensive contract and operational support to the Legal Department across corporate, commercial, compliance, and legal operations matters. This position serves as a key resource to attorneys and business stakeholders by managing legal documentation, supporting corporate recordkeeping, coordinating legal processes, maintaining compliance-related records, and helping drive operational efficiency within the legal function. The role requires strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Contract Administration & Commercial Support
    • Administer and support the execution of company legal agreements and related documentation.
    • Support agreements throughout the contract lifecycle, including drafting, review, approval coordination, execution, and filing.
    • Prepare, review, revise, proofread, and distribute contracts, legal correspondence, forms, reports, and other legal documentation using approved templates and established guidelines.
    • Review contract terms to identify non-standard provisions, summarize key obligations, and escalate legal and business risks as appropriate.
    • Track agreements through negotiation, approval, execution, and renewal processes.
    • Maintain legal department records, databases, contract repositories, and document management systems to ensure accurate recordkeeping, retention compliance, accessibility, and audit readiness.
    • Develop, maintain, and update legal department templates, standard forms, terms and conditions, procedural documents, and other department resources.
    • Coordinate with other stakeholders to facilitate timely contract processing and resolution of contract-related requests.
  • Corporate & Legal Operations Support
    • Develop subject matter expertise for contract management tools and legal intake processes, identifying automation opportunities to improve efficiency and data integrity.
    • Coordinate legal requests and serve as a point of contact for routine inquiries from internal stakeholders.
    • Assist with legal research and information gathering related to corporate, compliance, regulatory, and operational matters.
    • Provide administrative support for legal and contract operations, including scheduling meetings, coordinating communications, processing legal requests, and supporting departmental activities.
    • Support legal department initiatives, strategic projects, system implementations, integrations, process improvements, workflows, systems, and recordkeeping practices to enhance efficiency, consistency, and compliance.
    • Support the ongoing administration and optimization of legal operations tools, document management systems, and contract management platforms.
  • Cross-Functional Collaboration & Project Support
    • Serve as a primary point of contact for routine legal requests and collaborate with internal stakeholders across other departments to support legal and business initiatives.
    • Assist with requests from auditors, regulators, customers, vendors, partners, and external counsel.

Qualifications

  • A college degree is required.
  • 5+ years of experience as a contract administration professional or similar experience.
  • Experience supporting commercial transactions, contract review, compliance activities, and legal operations functions.
  • Experience working with contract management systems, document management platforms, e-signature solutions, and other legal technology tools.
  • In-house Legal Department experience preferred.
  • Notary Public certification is a plus.

Technical Proficiencies

  • Strong working knowledge of Microsoft Office Suite, Adobe Acrobat, DocuSign, and Salesforce.
  • Proficiency with Ironclad or similar CLM, document management, records management, and workflow automation tools is a plus.
  • Experience with Smartsheet and legal operations or matter management systems is a plus.
  • Ability to learn and effectively utilize new legal technology platforms.

Physical Demands & Work Environment

  • Hybrid work with at least three in-office days.
  • Job performed in a general office environment.
