About the role
The Contract Administrator at CGL Facility Management, LLC, readies and maintains operations and financial business transactions at the operating account level that includes work that is analytical, evaluative, and advisory in nature and that requires an understanding of operational workflow procedures, contract compliance, computerized maintenance management systems (CMMS) and basic accounting theory and practice. Additional responsibilities include identifying and resolving issues that arise to facilitate contract compliance and the performance of other value-added activities to support client needs and expectations.
Responsibilities
- Coordinates all workflow processes and administrative functions with each assigned account to ensure contract compliance and accurate invoicing.
- Compiles and analyzes all reimbursable work activity for each assigned account to ensure compliance and proper documentation.
- Reviews and prepares invoices with supporting documentation and submits to client.
- Supports the accounting department in reconciliation of journal entries.
- Assists in promoting a customer-focused culture by example and by coaching field staff.
- Trains field personnel on the business administration procedures and CMMS inputs required for each assigned contract.
- Considers the need for new or changed controls and makes recommendations as needed.
- Advises senior management of operational issues as appropriate.
- Recommends improvements, adaptations, or revisions in the workflow process and CMMS system and procedures.
- Reviews work order reports and metrics for quality control.
- Completes all required compliance, safety, and developmental training as assigned.
Requirements
- Bachelor's Degree in business management or accounting, or related field.
- 4-6 years administrative operations support or accounting experience.
- Experience with Maintenance Connection or another CMMS (Preferred).
- Must be detail-oriented and able to work within specified deadlines.
- Ability to identify problems, collect and analyze data, and draw logical conclusions.
- Ability to prioritize, multi-task, and meet deadlines.
- Analytical and detail-oriented with strong organizational skills.
- Excellent written, verbal, and interpersonal communication skills.
- Strong computer skills including proficiency in Excel and MS Office.
- Ability to pay close attention to detail and work independently.
- Ability to maintain confidentiality.

- Requires a detail-oriented, independent thinker who can be part of a team and demonstrates strong attention to detail and knowledge of maintenance operations procedures.
- Must demonstrate excellent written and verbal communication skills and interpersonal skills, particularly the ability to communicate effectively with all levels of management and industry professionals.
