Position Summary

The Contract Management Administrator provides administrative and operational support for FABco's contract billing and project administration functions. This position is responsible for maintaining contract‑related data, processing billing activities, verifying contract compliance, administering change orders, supporting payment application processes, and ensuring accurate project closeout documentation. The role serves as a key liaison between Operations, Project Management, Accounting, and Customers to ensure accurate and timely contract administration throughout the project lifecycle.

Essential Duties and Responsibilities

  • Enter and maintain project, contract, and billing information within company systems.
  • Assist with contract billing activities, payment applications, and invoice processing.
  • Review project documentation to ensure billing and contract information is accurate and complete.
  • Enter and track approved change orders and contract modifications.
  • Maintain organized project records and supporting documentation.
  • Assist with project audits, closeout activities, and final documentation requirements.
  • Research and resolve routine billing discrepancies and customer inquiries.
  • Communicate with Project Managers, Operations, Accounting, and customers regarding contract and billing matters.
  • Prepare reports and provide administrative support to the Contract Management team.
  • Perform other related duties as assigned.

Required Qualifications

  • High school diploma or GED required.
  • Minimum two (2) years of administrative, contract administration, project accounting, billing, construction administration, or related experience.
  • Proficiency in Microsoft Excel, Word, Outlook, and business software systems.
  • Strong organizational and time‑management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Associate's degree in Business Administration, Accounting, Construction Management, or related field.
  • Experience in construction, fabrication, manufacturing, or industrial contracting environments.
  • Experience with ERP systems, project accounting software, RMS, Sage, Viewpoint, Soule, or similar platforms.
  • Understanding of construction contracts, schedules of values, change orders, lien waivers, and payment applications.

Physical and Mental Requirements

This position requires the ability to remain seated for extended periods while working at a computer, frequently use hands and fingers for keyboarding and data entry, and communicate effectively in person, by telephone, and electronically. The employee must be able to review detailed documents, analyze information, perform mathematical calculations, maintain concentration in a fast‑paced environment, manage multiple priorities, exercise sound judgment, and meet established deadlines. Occasional lifting of office materials up to 20 pounds may be required.

Work Environment

Work is primarily performed in a professional office environment with regular use of computers, office equipment, and business software applications. Occasional interaction with shop, field, project management, accounting, and customer personnel may be required.

Ability to commute to Houston, TX 77049 (required). Work location: in‑person.

Pay

$19.00 – $22.00 per hour
