The Project Administrative Coordinator will serve as the operational backbone for an active residential portfolio, ensuring project documentation and workflows remain completely seamless. Responsibilities
- Manage critical project documentation including contractor onboarding paperwork, COIs, W-9s, and lien waivers.
- Compile comprehensive AIA submissions and draw packages to guarantee timely funding and vendor payments.
- Act as the central point of contact between internal project teams and external property management partners.
- Field daily communications and track open action items to ensure nothing gets lost in project handoffs.
- Organize digital project folders and maintain detailed compliance checklists across multiple active jobs.
- Flag administrative bottlenecks and missing documentation proactively before they impact field operations.
- Update tracking logs systematically to keep leadership informed on project compliance status.
Requirements
- Proven administrative experience working within the construction, general contracting, or real estate development industries.
- Demonstrated familiarity with construction compliance documents, lien waivers, and draw package administration.
- Superior organizational skills with a track record of managing multiple project deadlines simultaneously.
- Strong verbal and written communication skills required to manage multi-party partner relationships.
Qualifications
- Bachelor’s Degree from an accredited institution.
- 3 or more years of dedicated project administration experience in a fast-paced construction environment.
- Experience coordinating administrative workflows directly with urban property management firms.
