Responsibilities
- Own the AIA billing process end-to-end — preparing progress payment applications, schedules of values, change orders, and retainage adjustments that keep multi-million-dollar contracts accurate and on track.
Project Support & Data Management
- Receive, review, and setup jobs using detailed information related to project costs, pricing, and markups
- Maintain organized and up-to-date records for all active and completed projects
- Verify accuracy of pricing calculations, including labor, materials, and overhead
- Update pricing data based on changes in project scope or cost adjustments
Billing & Invoicing
- Analyze contracts and project status to ensure every billing reflects the correct terms and approved changes before it goes out
- Monitor project financials — percent-complete, retainage releases, and remaining contract balances — catching discrepancies early
- Serve as the billing point of contact across project managers, general contractors, subcontractors, and clients, resolving questions and securing timely approvals
Job Cost Analysis
- Manage contract data in our ERP system (Viewpoint Spectrum), ensuring job costs are captured correctly for accurate reporting
- Build out reporting in Excel and other analytics tools that give leadership real visibility into billing performance
Requirements
- 1–2 years+ of experience in billing, accounting, bookkeeping, or a related field — construction or AIA billing experience is a plus, not a requirement
- Strong Excel skills and comfort learning new software/ERP systems
- Sharp attention to detail and solid organizational skills
- Clear communicator who can work cross-functionally with project managers and clients
- A degree in accounting, finance, or business is a plus but not required — we care more about aptitude and drive
- Ability to pass a pre-employment drug test and criminal background check required
