About the role

We are seeking an experienced Project Document Coordinator to join our dynamic team at Clayco. This role involves coordinating and recording project documents throughout the PreBid, Design, Construction, and Closeout phases. The ideal candidate will keep in contact with the design team, project management, peer reviewers, and subcontractors to ensure smooth document flow and maintain Clayco's procedural standards.

Responsibilities

  • Coordinate and record project documents including drawings, sketches, specifications, closeout documents, contracts, and change orders.
  • Distribute and track these documents among the Project Team Members using the electronic filing system.
  • Assist in troubleshooting issues related to document access and distribution for Subs, Bidders, and others.
  • Maintain and adjust workflows for standardized processes under the guidance of the project team.
  • Create and manage distribution lists in PMWeb, and update company information as needed.
  • Avoidance of data searches of previous projects.

Requirements

  • Experience in the construction industry is a plus.
  • A two-year degree in business administration or related associate’s degree is preferred.
  • Excellent computer skills, including proficiency in document management systems, Microsoft Office, and willingness to update skills.
  • Strong communication and listening skills, with a keen eye for detail.
  • The ability to be flexible with work hours.

  • Knowledge of the construction process and the ability to coordinate tasks effectively.
  • Ability to work independently and as part of a team.
  • Attention to detail and strong organizational skills.
