Conference Travel Coordinator
About the Role
Renata Travel DMC is hiring a Conference Travel Coordinator to manage the traveler-movement side of incoming conference programs. This role is deliberately separate from event-floor operations: its scope is the path each attendee takes between arrival point, lodging, transfer service, conference venue, and departure.
Responsibilities
- Maintain arrival and departure manifests, hotel movement notes, transfer pickup information, traveler contact details, and itinerary changes for conference participants.
- Distinguish confirmed services from pending supplier replies so no traveler receives timing that has not yet been verified.
- Build and maintain attendee movement records using confirmed flight, rail, lodging, and transfer details.
- Group arrivals and departures logically when shared transport is used, while preserving traveler-specific exceptions.
- Reconcile late schedule changes against hotel check-in, transfer windows, and conference start or finish times.
- Flag missing transport or lodging confirmations before traveler-facing documents are updated.
- Prepare concise movement-status notes for the DMC team so supplier follow-up can continue without reconstructing each traveler file.
Success Standards
Success means travelers move through the conference program with coherent arrival, lodging, transfer, and departure information; open movement dependencies remain visible; and changes are reflected consistently across traveler-facing and internal records.
Requirements
- Strong itinerary and traveler-record discipline, especially where multiple arrivals or departures overlap.
- Comfort coordinating transport and lodging information without treating pending supplier responses as confirmed.
- Clear written communication for movement updates, exception notes, and traveler-facing timing changes.
- Ability to spot conflicts between transport timing, hotel timing, and conference attendance requirements.
Position Details
Full-time, associate-level role. 100% remote within the United States.
Pay
Base salary: $44,000–$68,000 per year.
