The opportunity exists at Four Seasons Hotel One Dalton Street, Boston, where a Conference Services Manager is needed. This position coordinates all requirements for various conference groups booked by the Sales Department, enforces sales letter agreements, guides planners, communicates client needs, and ensures successful event execution.

Essential Function of the Job

  • Negotiate with clients using creative and attractive presentations to maximize revenue and fulfill contractual responsibilities while meeting client needs.
  • Cook Catering to ensure proper function space utilization for maximum revenue.
  • Finalize confirmed bookings, maximizing revenue potential through upselling and effective communication with all departments.
  • Maintain an active trace/follow-up system, ensuring accuracy of Banquet Checks and providing bill reviews upon event completion.
  • Supervise the execution of banquet events, reviewing function spaces with the banquet manager and head house attendant as necessary.
  • Ensure client satisfaction throughout events, participating in various meetings with hotel staff and clients.
  • Make timely and impromptu decisions balancing client needs with hotel's financial, safety, and staffing goals.
  • Provide prompt and comprehensive updates on problems or unusual matters affecting events.
  • Maintain knowledge of hotel facilities, capacities, and meeting space dimensions, and basic operational needs of all departments.

Education and Experience

  • Bachelor’s Degree / CMP Certification preferred
  • 2 to 3 years experience directly related to hotel conference services
  • Excellent reading, writing, and oral proficiency in English
  • Strong selling and interpersonal skills
  • High level of creativity
  • Attention to detail
  • Able to handle multiple tasks and make decisions in a fast-paced client-driven environment
  • Able to work long and irregular hours, weekends, and evenings
  • Able to negotiate, organize, delegate, and work under pressure

Basic Knowledge

  • Knowledge of audio-visual equipment and Internet technology (helpful)
