General Description

The purpose of this position is to direct, coordinate, and oversee city-sponsored events and programs. This position is also responsible for processing special event permits from the community.

Essential Duties

  • Plans, coordinates, and oversees activities related to city-sponsored events and public special event permits; ensures events comply with applicable rules, policies, and procedures.
  • Schedules and monitors public spaces and facilities used for special events.
  • Receives, reviews, and processes applications for special event permits; gathers needed information and collects fees from applicants.
  • Congnats with other City departments and outside agencies to secure resources and gather information for City and non-City events/programs as needed.
  • Consults with City personnel to assess availability of requested resources and determine event-related costs.
  • Develops or analyzes new programs and events; assesses community needs; conducts research; analyzes costs and resources.
  • Develops budgets and monitors expenditures for events and programs.
  • Fosters and maintains positive working relationships with community and neighborhood-based organizations and customer groups to maximize the success of community programs.
  • Creates and/or coordinates various presentations on behalf of the City.
  • Prepares reports and/or completes paperwork as needed; ensures maintenance of records in compliance with city, state, and federal recordkeeping requirements.
  • Researches grant opportunities and prepares grant applications when appropriate.
  • Serves as a liaison between city officials, city departments, department personnel, community groups, and other related groups regarding special events and programs; attends meetings and presents information as needed.
  • Communicates with supervisor, co-workers, other departments, citizens, community groups and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
  • Attends City Council meetings as needed.
  • Maintains a comprehensive, current knowledge and awareness of trends and best practices in community relations, marketing and programming.

  • Knowledge of principles and practices of community programming.
  • Knowledge of management and budgeting principles and practices.
  • Knowledge of marketing tools and social media.
  • Knowledge of computers and job-related software programs.
  • Skills in managing multiple community programs.
  • Skills in verbal and written communication.
  • Skills in planning and executing large-scale special events.
  • Excellent organizational skills and attention to detail.
  • Ability to multi-task, prioritize and solve problems.
  • Excellent customer service skills and ability to address employee or public concerns.
  • Ability to exercise sound judgment within the scope of responsibility.
  • Ability to establish and maintain effective working relationships with volunteers, co-workers, supervisors, and the public.
  • Must be able to meet regular attendance requirements.
  • Must be able to work nights and weekends.
  • Must be able to drive to assigned locations.

Minimum Qualifications

  • Associate’s Degree or above in Communications, Public Relations, Marketing, Business, or Public Administration; two years’ experience in event planning or community programming; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must possess and maintain a valid State of Alabama driver license.

Essential Physical Requirements

  • Frequent sitting, standing, walking, reaching, climbing, stooping, crouching, kneeling, talking, and hearing.
  • This position requires lifting: Up to 25 pounds frequently; up to 50 pounds occasionally.
  • This position has the following special vision requirements: Ability to view information both in print and electronically; vision necessary to drive.

Environmental Working Conditions

  • Extreme heat and cold, outdoor weather conditions, and loud noise.
  • This position is required to occasionally work in close proximity to moving machinery/equipment.
