Community Outreach Office Assistant / Clinic Administrative Coordinator Location: Kingston, RI (Onsite) Schedule: Monday-Friday, 8:30 AM-4:30 PM Duration: Minimum 6-month contract with strong potential for full-time conversion Employment Type: W2 Contract through Epitec Overview Epitec is seeking a highly organized and customer-focused Community Outreach Office Assistant / Clinic Administrative Coordinator to support daily operations within a healthcare-focused clinical environment. This role serves as the primary point of contact for clients, faculty, students, and community partners, ensuring a welcoming and efficient experience while supporting scheduling, administrative functions, and clinic operations. The ideal candidate will have administrative experience in a healthcare or clinical setting, strong customer service skills, and experience working with electronic medical records and scheduling systems. Key Responsibilities Clinic Operations Manage client scheduling, intake, check-in, and check-out processesMaintain accurate appointment and scheduling recordsCoordinate clinic calendars and facility utilizationTrack and distribute parking vouchers as neededSupport the day-to-day operational needs of the clinic Client Services Serve as the primary point of contact for clients, faculty, students, staff, and community partnersGreet and assist visitors throughout their clinic experienceRespond professionally to phone calls, emails, and general inquiriesProvide confidential, customer-focused support in a professional environment Administrative & Financial Support Assist clients with credit card payments and online payment processesMonitor payment activity and accounts receivable support functionsAssist with purchasing and procurement activitiesSupport clinic leadership and staff with administrative tasks and special projectsCoordinate office resources, supplies, and operational logistics Compliance & Records Management Maintain secure and accurate recordsEnsure adherence to HIPAA, clinic policies, and confidentiality requirementsSupport compliance with established procedures and regulations Required Qualifications Associate degree or equivalent combination of education and experienceMinimum of 2 years of administrative experience in a healthcare, clinical, or related environmentExperience using Microsoft Office SuiteExperience working with Electronic Medical Records (EMR) or Electronic Health Records (EHR) systemsStrong organizational, prioritization, and multitasking skillsExcellent verbal and written communication skillsProven customer service experienceAbility to maintain confidential information and comply with HIPAA requirementsAbility to work both independently and collaborativelyCommitment to providing exceptional service to diverse populations Preferred Qualifications Experience in a healthcare, university, or academic clinical settingExperience with accounts receivable, payment processing, or procurement activitiesExperience supporting faculty, students, or multidisciplinary teamsFamiliarity with university administrative systems Why Join Through Epitec?
