About the role

The Operations Manager oversees the day-to-day operation of field jobs for the Maintenance Department, working closely with crews, foremen, administration, and management to ensure high standards of property maintenance and client interaction. This role reports directly to the Maintenance Division Manager and focuses on supervising maintenance contract work.

Responsibilities

  • Coordinate and attend on-site meetings with property managers and/or owners to address maintenance, repairs, installations, and other requests.
  • Compile a monthly management report.
  • Coordinate with office staff, foremen, and contractors on repairs, maintenance, and emergencies, including developing specifications, pricing parts, soliciting bids, allocating labor, and organizing proposals and work orders.
  • Assist property managers and/or owners with developing annual maintenance budgets, if requested.
  • Communicate requests for regular property inspections in accordance with Company contract standards.
  • Respond to requests and complaints from property managers and owners in a timely and courteous manner.
  • Stay knowledgeable of federal, state, and local regulations affecting property maintenance and safety procedures.
  • Develop and implement training technologies, tools, and safety measures for field operations.
  • Review and approve bills for property owners and coordinate collection with the Administration & Finance Department.
  • Coordinate information and assist other Company departments as needed.
  • Advise and consult on additional work, such as budgeted landscape upgrades and special projects, coordinating with the Sales Department.
  • Consult with the General Manager and Sales personnel before committing labor resources for contracted work.
  • Ensure all proposals are approved verbally or in writing, in line with contract terms or Company policy.

Qualifications

  • Above-average communication skills, with the ability to engage effectively with individuals and groups.
  • Intermediate office skills, including composing letters, organizing, evaluating, planning, and typing.
  • Proficiency in Microsoft Word and Excel.
  • Ability to adapt and learn proprietary Company software applications.
  • Knowledge of laws and green industry standards related to landscape maintenance.
  • Demonstrated supervisory and administrative experience.
  • Understanding of basic financial reports and meeting procedures.
  • Clean driver’s license.
  • Experience in crew and account management.
  • Commercial landscape experience required.
