About the Role
The Service Manager leads staff members who install, repair, and maintain heating and air conditioning systems in commercial buildings. This role involves direct collaboration with service and install technicians, dispatch personnel, and other managers to ensure customer satisfaction while meeting departmental goals. As a senior company representative, the Service Manager communicates directly with customers, vendors, and suppliers to ensure accurate job or project status and requirements.
Responsibilities
- Directly responsible for P/L performance of the Service Department and delivering results
- Drive annual growth of the Service Base to meet organizational goals
- Oversee all Service Department staff, including Dispatch and Service Supervisors
- Ensure accurate and timely processing of all Work Orders generated in the department
- Enforce the Company RMP, including minimum contribution margins for all work performed
- Schedule, direct, and provide technical support for HVAC technicians to meet service demands and customer expectations
- Recruit, interview, hire, and train HVAC technicians to meet workload demands and company or customer expectations
- Supervise and direct HVAC technicians in equipment repair, installation, start-up, and other duties to ensure customer satisfaction
- Review technicians’ work to ensure quality meets established standards, techniques, and safety requirements; recommend improvements
- Conduct performance appraisals, reviews, and set improvement goals for HVAC technicians
- Establish and maintain a regular training program for HVAC technicians on the latest service techniques and safety procedures
- Conduct group and one-on-one meetings with technicians for training, evaluation, and communication
- Participate in regularly scheduled departmental safety and informational meetings
- Communicate regularly with dispatch to ensure proper scheduling by skill level, efficiency, and training requirements
- Provide daily project updates to dispatch, including estimated time to complete jobs, labor hours, and parts or material used
- Maintain communication with vendors and factory personnel regarding warranty issues, product recalls, operational problems, and premature failures
- Develop and monitor budgets, goals, and objectives to ensure departmental profitability
- Review work orders, invoices, and time reports for accuracy to ensure timely cash flow and minimal account receivables
- Specify and ensure timely ordering of required parts to meet work deadlines
- Enforce all company and department policies among HVAC technicians
- Oversee assigned HVAC service vehicles, ensuring proper maintenance, operation, and inventory of parts and materials
- Keep current with the latest factory OEM training on products and coordinate technician training
- Generate sales leads, promote and develop maintenance/service agreements, and estimate bids for contract projects
- Manage larger installation, start-up, and commissioning projects; coordinate teams of technicians and contractors
- Perform pre-start-up inspections and complete equipment turnover to owners
- Collaborate with other departmental managers to meet company and departmental goals
- Perform other duties as assigned
Requirements
- Five years of HVAC management-related experience or an equivalent combination of education and experience
- Some post-high school education from college, trade school, or military
- In-depth knowledge and understanding of HVAC and refrigeration systems
- Ability to read, interpret, utilize, and train on manuals, schematics, and control circuits related to HVAC and refrigeration systems
- Technical aptitude with knowledge of local codes and resourcefulness in finding solutions
- Excellent leadership skills to enhance team productivity and work standards
- Strong verbal and written communication skills, including conflict management
- Detail-oriented and highly organized with the ability to handle multiple tasks
- Proficiency in common office applications such as MS Word, Excel, Outlook, and general software navigation
- Strong personal desire for improvement and ability to motivate HVAC technicians
- Clean, neat, and professional appearance; ability to instill pride of workmanship
- Valid driver’s license with a clean driving record and background
- Ability and willingness to work non-standard schedules, including nights, weekends, and holidays as required
