About the role

The Fleet Coordinator is responsible for the day-to-day administrative and operational management of Model 1’s commercial fleet orders. Serving as a primary point of contact between corporate clients, dealerships, upfitters, and service vendors, this role ensures vehicles are ordered, tracked, and processed seamlessly while minimizing downtime and operational costs.

Responsibilities

  • Order Coordination and Lifecycle Management:
    • Coordinate communication between OEM contacts, Model 1 internal teams, FMC partners, dealerships, upfitters, and service vendors.
    • Track vehicle orders from initial request through OEM order placement, production, upfit, delivery, and final sale or assignment.
    • Confirm order details, specifications, customer requirements, pricing, allocation needs, production timing, and delivery expectations are complete and aligned.
    • Escalate delays, missing information, or conflicting instructions to the appropriate team member for resolution.
  • Documentation, Systems, and Internal Support:
    • Collect, route, and follow up on required documentation, approvals, purchase order details, order confirmations, and related order requirements.
    • Update internal systems and tracking documents so order, inventory, availability, and status information remains current.
    • Provide clear updates, summaries, next steps, and action items to sales, inventory, operations, accounting, and leadership teams.
    • Serve as a support resource for questions related to OEM status, FMC requirements, vehicle availability, and order progress.
  • Process Improvement and Documentation:
    • Document recurring workflows, standard operating procedures, templates, and reference materials for fleet and inventory processes.
    • Identify opportunities to reduce manual steps, improve handoffs, strengthen data quality, and make recurring tasks easier to repeat.
    • Support improvements to reporting, tools, and communication processes where appropriate.

Requirements

  • 2+ years of experience in fleet coordination, commercial vehicle operations, automotive, fleet management, sales operations, account support, or a related role preferred.
  • Experience working with OEMs, fleet management companies, commercial vehicle dealers, upfitters, large fleet customers, or related external partners preferred.
  • Strong attention to detail and ability to work accurately with order data, inventory records, specifications, pricing, customer requirements, and status updates.
  • Ability to track open items, follow up professionally, and keep multiple internal and external stakeholders informed.
  • Comfortable using Microsoft Excel, Outlook, Teams, shared document systems, and internal business platforms.

Preferred Skills

  • Familiarity with OEM ordering, FMC account coordination, national fleet customers, allocation, production status updates, upfit coordination, and delivery timelines.
  • Ability to identify inconsistencies between OEM updates, FMC requests, customer expectations, and internal system data.
  • Comfort operating in a fast-moving environment where priorities, timing, and customer needs can shift quickly.
