Responsibilities
- Project Coordination & Documentation
- Aid the Project Manager with multiple construction projects across pre-construction, construction, and close-out phases.
- Maintain and track all project documentation, including RFIs, submittals, NMAs, ACDs, and change orders from start to finish.
- Receive, review, forward, and track submittals; ensure logs remain accurate and current.
- Initiate, prepare, review, track, and distribute RFIs; monitor associated cost and schedule impacts.
- Manage the project permit process and required documentation.
- Prepare bid packages, procurement tasks, and cost evaluations.
- Schedule Management
- Update the construction schedule based on field input, trade progress, and material delivery timelines.
- Coordinate with field staff daily/weekly to ensure the schedule is accurate, followed, and aligned with project milestones.
- Identify schedule issues, assist in resolving them, and alert the PM to risks affecting closeout.
- Track schedule implications tied to RFIs/NMAs/ACDs; gather impacts from subcontractors and prepare schedule updates for PM review.
- Distribute updated schedules to all project team members and confirm trade alignment.
- Budget & Cost Tracking
- Monitor project budgets and cost exposure, providing updates to the PM.
- Track all cost implications tied to RFIs/NMAs/ACDs and collect pricing from subcontractors.
- Prepare change orders for PM review.
- Field & Site Responsibilities
- Conduct regular site walks and safety inspections to monitor quality control and verify compliance with codes and safety regulations.
- Track and inspect material deliveries for accuracy and condition.
- Aid field staff with required documentation, including DNs, Impact Notifications, MOPs, and other project information.
- Coordinate with subcontractors and vendors, helping resolve field issues and coordinating communication.
- Review bidding files, issue subcontract agreements, and collect required subcontractor documentation.
- Track submittals, lead times, and long-lead items to ensure timely procurement and installation.
- Meetings & Reporting
- Attend OAC meetings, subcontractor coordination meetings, and internal project meetings as directed by the PM.
- Record and distribute detailed meeting minutes, tracking action items and follow-up tasks.
- Run meetings when needed, with oversight from the PM or Senior PM.
- Aid in preparing monthly owner project status reports and other required reporting.
- Estimating & Pre-Congestion Support
- Aid the PM/Senior PM with estimating tasks, quantity takeoffs, bid leveling, and scope reviews.
- Aid in bidding new potential projects.
- Compliance & Healthcare Standards (if applicable)
- Aid in enforcing healthcare-specific requirements such as ICRA, hospital safety protocols, and infection control standards.
- Ensure subcontractors follow all compliance expectations and documentation requirements.
- Project Closeout
- Support and/or complete project close-out activities, including collecting as-built, managing punch lists, securing warranty letters, and preparing turnover packages.
- Bachelor's Degree in Construction Management - OR 3+ years of construction trade experience with 2+ years construction office staff experience.
- Proficient with construction software; Autodesk / ACC / or Microsoft Project software (preferred).
- Healthcare construction experience (preferred).
- Valid California driver’s license and reliable transportation for travel to job sites.
