About the role

The Office of Admissions Services (OAS) within the Office of Enrollment Management (EM) at the Central Office invites applications for the role of College Assistant to work in various departments within OAS. The College Assistant may be assigned to one of the following units: Welcome Center, Undergraduate Admissions, Graduate Admissions, University Application Processing Center (UAPC) and Recruitment. Under supervision, College Assistants perform a variety of clerical, administrative, customer service, research, data entry, and operational support functions to assist with departmental workflows and admissions-related activities. College Assistants may be assigned to work at either our Midtown Headquarters in Manhattan or Kingsborough Community College located in Brooklyn.

Responsibilities

  • Provide general administrative support, including reception coverage, filing, scanning, organizing documents, maintaining records, and assisting with routine office tasks.
  • Respond to routine admissions-related inquiries from prospective students, applicants, families, school counselors, campus staff, and other stakeholders in a professional and customer-service focused manner.
  • Assist applicants with general questions related to the admissions process, application status, required documents, deadlines, account access, and next steps in the admissions process.
  • Support application processing by helping track submitted documents, update applicant records, identify missing or incomplete information, and refer more complex issues to appropriate staff.
  • Enter, update, verify, and maintain applicant information using admissions systems, databases, customer service platforms, Microsoft Office, email, shared files, and other office software.
  • Use office technology and software applications to support data entry, document management, communication tracking, basic reporting, and applicant support.
  • Assist with routine technical support for applicants, such as helping identify issues related to online applications, account access, document uploads, or system navigation, and escalating issues when needed.
  • Assist with basic data entry, coding, quality checks, and report preparation to support admissions workflows and departmental tracking.
  • Draft, proofread, and send routine communications or email responses under supervision.
  • Support admissions projects, applicant outreach, recruitment activities, and events, as assigned.
  • Maintain confidentiality and professionalism when handling applicant records, academic documents, and sensitive information.
  • Perform other related duties as assigned.

Qualifications

  • Must demonstrate sufficient skills to perform the duties of the assigned tasks.
  • Experience in office administration, customer service, data entry, student services, or admissions/enrollment-related work preferred.
  • Strong customer service, communication, and organizational skills.
  • Attention to detail and accuracy when entering data, reviewing records, and tracking documents.
  • Ability to assist applicants with routine technology-related questions and escalate more complex issues appropriately.
  • Ability to learn admissions procedures, systems, and workflows.
  • Ability to work professionally and effectively with diverse student populations.
  • Willingness to learn and use various technology and software systems, databases, and office applications.
  • Familiarity with Microsoft Office, email, collaboration tools, scanners, and general office technology.
  • Multilingual ability is a plus.

Pay

The hourly range is $20 to $23.10/hr, commensurate with credentials, education and experience.

Schedule

This is a part-time position, and College Assistants may work up to a maximum of 20 hours per week. Until further notice, this role requires on-site presence. Some roles may require travel to CUNY campuses across New York City's 5 boroughs, and may occasionally work evening and weekend hours.
