Clinical Trials Financial Specialist I

This position is full or part-time, 75%-100% FTE, with regular business hours Monday through Friday 8:00 a.m. – 4:30 p.m. It is anticipated that this role will be remote, requiring work to be performed at an offsite, non-campus work location.

About the role

The University of Wisconsin Carbone Cancer Center (UWCCC) Clinical Research Finance Office (CRFO) is seeking a Clinical Research Financial Specialist to support financial activities across the spectrum of pre-award (budgets) and post-award (accounting) for clinical trials conducted at UWCCC. This role supports the financial administration of cancer-focused clinical research studies, working closely with research teams, CRFO staff, study sponsors, and campus partners.

This position is ideal for someone who enjoys working with data, solving problems, and supporting complex processes in a mission-driven environment. Successful candidates are detail-oriented, organized, and motivated to contribute to research that advances scientific discovery and improves outcomes for patients and families affected by cancer.

Responsibilities

  • Configure clinical trial budgets within the Clinical Trials Management System (OnCore) and manage the handoff process from the budgeting team to the accounting team.
  • Coordinate with the accounting team to reconcile payments received from study sponsors.
  • Manage aspects of the participant reimbursement process, including setup of studies and participants in the payment system, submission of travel expense requests, and acting as the point-of-contact for questions from study teams.
  • Perform monthly expense review and reconciliation between Workday and other systems (OnCore, Smartsheet).
  • Set up, submit changes to, and close out purchase orders/internal work orders as needed for trials.
  • Draft basic communications and reports and maintain organization of varied records to provide administrative support within a specified work unit.
  • Audit, monitor, organize, and update fiscal records, reports, and affiliated materials.
  • Answer general fiscal questions and provide information based on set materials and standards to various audiences.
  • Audit or process transactions and assign funding codes in accordance with established rules, regulations, and policies.
  • Audit or reconcile original purchase documents with payments.
  • Complete departmental processing of fully executed contracts.

Requirements

  • One or more years of experience in finance, accounting, healthcare administration, research administration, clinical trials, or a related field.

Preferred Qualifications

  • Experience with financial tasks such as processing payments, invoices, purchase orders, work orders, expense transactions, and reconciliation.
  • Experience with clinical trials (preferably oncology trials), including protocol administration, participant management, billing compliance, finance, regulatory, or QA/Compliance.
  • Experience working with financial systems, databases, or enterprise resource planning (ERP) systems such as Workday.
  • Experience working with clinical trials management systems (CTMS) such as OnCore.

Education

Associate's degree in Business Administration, Accounting, Finance, Healthcare Administration, Public Health, or related field preferred.

Pay

The starting hourly wage for the position is $24.00 per hour, negotiable based on experience and qualifications.
