About the role
The Clinical Staffing Coordinator ensures adequate nursing staffing for 24/7 coverage by using systematic, cost-effective methods to fill all scheduling gaps. This role provides excellent service to nursing leadership and all nursing staff.
Responsibilities
- Produces nursing schedules
- Creates or receives schedules two months in advance
- Reviews all PTO/vacation requests and schedules appropriately in coordination with nursing management
- Posts schedules on the scheduling application at least one month in advance
- Identifies scheduling gaps
- Compares schedules to appropriate staffing levels
- Creates a list of all vacant shifts to be filled
- Assists the nursing management team in managing overtime
- Contacts per diem, part-time, and full-time staff to pick up additional shifts as needed
- Organizes work for quality output
- Prioritizes tasks based on immediate needs
- Demonstrates flexibility in scheduling to meet departmental needs
- Uses available computer systems to access information and increase efficiency
- Maintains and updates current nursing department call lists monthly (staff name, position, phone number, and shift availability)
- Creates and utilizes systems to prevent errors
- Confirms schedules in a timely manner
- Completes and maintains all necessary documentation for staff, per diem pool, and agency personnel
- Secures information
- Maintains confidentiality relating to all nursing department, staff, and per diem pool issues/concerns
- Keeps all files/records organized and securely stored (past schedules, staff requests, master schedules, individual agency binders)
- Maintains HIPAA compliance
- Contributes to team effort
- Communicates professionally and appropriately with all levels of staff
- Keeps management informed of potential and real personnel concerns
- Collaborates with nursing management to provide adequate orientation/preceptor time for staff retention
- Meets with new and existing staff to provide written schedules and communicate job expectations
- Demonstrates willingness to acquire new skills and responsibilities
- Recognizes when assistance is needed to complete tasks
Requirements
- High School Diploma (required)
- Associate's Degree (preferred)
- 1-2 years of previous staffing experience in a healthcare setting (required)
- Previous experience in data entry and computer skills (required)
