About the role

The Clinical Scheduler, under the direction of the Clinical Scheduling Supervisor, will answer calls using the phone systems, set up exams for patients, and handle customer service inquiries. This role also involves ensuring there is enough time between appointments to allow physicians to complete certain medical examinations and procedures. Other responsibilities include maintaining databases, faxing and scanning patient histories, answering phones, and updating patient account information.

Responsibilities

  • Greet patients professionally both in person and on the phone.
  • Aid with other administrative duties such as copying, scanning, faxing, and emailing.
  • Ensure phone is transferred to the answering service at the end of the day.
  • Help with special billing projects.
  • Train new team members.
  • Maintain confidentiality of sensitive customer and company information.
  • Meet and exceed short and long-term goals as established for the department.
  • Participate in administrative staff meetings and attend other meetings and seminars.
  • Evaluate reports, decisions, and results of the department in relation to established goals.
  • Recommend new approaches, policies, and procedures to improve departmental efficiency and services.
  • Take ownership of special projects, research data, and follow through with detailed action plans.
  • Participate in problem identification and resolution, coordinating resolutions between appropriate parties.
  • Adhere to corporate, department, and HR policies and procedures.

Requirements

  • High school diploma or GED.
  • 2-3 years related experience.
  • General computer skills with working knowledge of word processing, spreadsheet, and email applications.
  • Detail-oriented with good analytical and organizational skills.
  • Good interpersonal skills with the ability to work cohesively within a team environment.
  • Excellent oral and written communication skills to effectively communicate with customers and all levels of management.
