Recruiting & Interview Coordination

Coordinate candidate interviews and hiring activities across Clinical Operations and other business units.
Schedule interviews with hiring managers and candidates; manage confirmations and candidate communications.
Affiliate with interview panel logistics and collect interviewer feedback.
Partner with HR and hiring leaders to help candidates move through the recruiting process in a timely manner.

Human Resources Support

Career onboarding activities for new hires, including documentation and training enrollment support.
Maintain personnel records, onboarding documentation, and other confidential HR materials.
Affiliate with employee engagement initiatives, recognition activities, and HR-related communications.
Affiliate with workforce reporting, staffing updates, and HR projects.

Clinical Operations & Business Operations Support

Administrative support to Clinical Operations leadership and business operations stakeholders.
Coordinate meetings, agendas, minutes, follow-up notes, and action-item tracking.
Maintain operational trackers, reports, and documentation repositories.
Affiliate with workforce planning activities, staffing reports, and operational readiness initiatives.
Support governance meetings through preparation of presentations, reports, and meeting materials.
Cross-functional projects involving Operations, HR, Training, Quality, Compliance, and Business Excellence teams.

Administrative Support

Manage calendars and scheduling for key stakeholders.
Organize electronic files, documentation repositories, and shared resources.
Prepare presentations, spreadsheets, reports, and process documentation.
Track action items and follow up on project deliverables.
Affiliate with travel arrangements, event planning, meeting logistics, data entry, records maintenance, and general administrative duties as needed.

Qualifications

  • Associate Degree in Business Administration, Human Resources, Healthcare Administration, Communications, or another non-clinical field.
  • 1–3 years of administrative, recruiting, HR, operations, customer service, or project coordination experience.
  • Proficiency with Microsoft Office, including Excel, Word, PowerPoint, Outlook, and Teams.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Experience

  • Supporting HR, recruiting, healthcare, clinical operations, or business operations teams.
  • Experience scheduling interviews or coordinating onboarding activities.
  • Experience maintaining reports, trackers, dashboards, or shared documentation repositories.
  • Familiarity with Workday or other HRIS systems.

Required Software & Technical Skills

  • Microsoft Excel: data entry, sorting/filtering, VLOOKUP/XLOOKUP, pivot tables, reporting, and workforce trackers.
  • Microsoft Word: document creation, formatting, correspondence, and process documentation.
  • Microsoft PowerPoint: presentations, leadership updates, and meeting materials.
  • Microsoft Outlook: calendar management, interview scheduling, email communication, and meeting coordination.
  • Microsoft Teams: virtual meetings, chat collaboration, file sharing, and project coordination.
  • Workday or similar HRIS: recruiting, onboarding, personnel records, or workforce data management.
  • SharePoint and OneDrive: shared document repositories, file organization, and document collaboration.
  • Ability to create and maintain reports, dashboards, trackers, and spreadsheets with a high degree of accuracy.
  • Experience utilizing applicant tracking systems (ATS) and recruitment scheduling tools preferred.
  • Ability to learn internal business, HR, compliance, and operational systems quickly.
  • Strong keyboarding, data entry, and document management skills.

Preferred Technical Skills

  • Experience with workforce management systems, scheduling platforms, or operational reporting tools.
  • Experience supporting recruitment processes within Workday Recruiting or similar platforms.
  • Familiarity with Power BI or basic data visualization tools.
  • Experience maintaining confidential employee and operational records in compliance with company policies.
