About the role
We are growing rapidly and are looking for a Clinical Operations Coordinator to support the In-Home Director and In-Home Clinical Managers as we scale our field operations. This role supports operational workflows, workforce tracking, payroll compliance follow-up, documentation review, and reporting — allowing clinical leadership to stay focused on patient care, clinical support, and clinical oversight.
Key Responsibilities
- Workforce & Payroll Compliance
- Follow up with field employees on timesheet submissions, PTO entries, and sick time to ensure accuracy before each payroll close
- Validate weekly mileage and hours are submitted in accordance with policy and protocols
- Review and abstract supporting documentation for mileage and time submissions
- Maintain support metrics as defined by leadership, including accuracy in time reports, mileage, and compliance
- Deliver a weekly exception report to each manager — escalations only, with full documentation
- Workforce Operations & Reporting
- Maintain field employee attendance, call-off, and workforce planning trackers
- Track training completion in Sprinter University and annual compliance for Sprinters
- Prepare weekly and monthly operational reports for the In-Home Director and Clinical Managers
- Support logistical planning for workforce
- Maintain dashboards, trackers, and workforce metrics
- Escalation & Program Support
- Manage administrative escalation trackers and ensure timely follow-up on open items
- Routinely non-clinical operational issues to appropriate teams
- Maintain SOPs, workflows, and operational documentation
- Track project milestones and action items; support new workflow launches as directed by the In-Home Director
- Compliance & Quality
- Participate in internal audits; provide feedback to improve documentation and identify operational improvement processes
- Maintain confidentiality and adhere to all HIPAA and compliance standards

Experience & Skills
- 2+ years in an operations, coordination, or administrative support role
- Experience managing multiple workflows, trackers, or reports simultaneously
- Comfortable working independently and remotely with minimal day-to-day direction
- Strong communication and problem-solving skills
- Proficient in EHR systems and Google tools
- Reliable internet connection and dedicated, secure workspace
- Available to work CST hours
- Preferred experience in healthcare operations, medical group administration, or home health/home care
- Familiarity with multi-state payroll or leave compliance
- Experience supporting a distributed or regional field team
- Prior use of Rippling or a similar HRIS platform
