Job Description Summary
Under general supervision, the Clinical Laboratory Representative performs as a customer service center representative for the Laboratory. Facilitates communication with patients, outpatient physicians’ offices, the Laboratory, and between patients, staff and other units in the hospital. Problem solves concerns for doctor’s offices, nursing units and physicians. Provides lab results via telephone, mail and fax. Performs patient registrations as assigned, including stat registrations. Further responsible for preparing materials including ABN’s and ICD9 codes as related to the registration process.
Education, Job Requirements, Prerequisites and Essential Functions
- High School diploma or equivalent preferred
- Experience with customer service related job duties
- Experience within a Call Center preferred
- Ability to communicate in Spanish as a second language preferred
- Integrative Agitation Management (IAMTAC) required within 30 days of hire
Prerequisite Skills
- Ability to work in teams in which all members are mutually accountable
- Ability to work collaboratively with team members, hospital staff, patients, and physicians
- Capable of organizing multiple tasks and using good time management and attention to detail
- Demonstrated professional telephone skills
- Understanding of medical and laboratory terminology, Medi-Cal, and Medicare forms
- Basic computer knowledge with the ability to do data entry and retrieval
- Demonstrated verbal and written communication skills
- Ability to read, speak, write, understand, and follow English and written instruction
Patient Privacy (HIPAA Compliance)
Employees in this position have access to protected health information. The protected health information a person in this position can access includes demographics, date of service, insurance/billing, medical record summary information, and all other information that may be contained in patient records. This position requires patient health information to perform the functions outlined as part of this position description.
Duties And Responsibilities
- Ensures that duties of assigned shift or work area are completed, working with other staff to adjust workload if necessary
- Performs job within the parameters of hospital policies and department policies and procedures; keeps current on policies and procedures
- Maintains records
- Maintains turnaround time policies
- Aids patients and physician office staff on the telephone with professionalism
- Instructs patients in preparation for appointment and/or specimen collection
- Maintains files
- Processes charges and credits for laboratory, pathology, and EKG
- Answers telephones, takes messages and routes calls as appropriate
- Transcribes verbal orders for laboratory testing
- Relays test results as needed
- Registers all off-hours outpatients in a timely, accurate and consistent manner
- Orders appropriate and accurate tests for outpatients, to include, but not limited to obtaining diagnosis for medical necessity and determining ABN eligibility
- Establishes a complete Medical Record by securing complete and accurate information, to include proper demographic and financial information
- Distributes reports to floors and offices, when needed
- Aids in training Customer Service Staff
- Aid in preparing statistical reports and audits for department
- Performs other duties as required or assigned
