About the Role

The Client Service Representative serves as the first point of contact for individuals seeking assistance and support. This role provides high-quality customer service, manages client intake processes, maintains accurate records, and supports the efficient delivery of services. The position promotes a welcoming environment that reflects the organization's mission to uphold dignity, compassion, and equity for every client.

All employees are required to contribute to organization-wide initiatives that support community impact, including participation in up to six Pop-Up and Give events annually. These events occur outside of standard business hours on the third Saturday of each month.

Responsibilities

  • Manage daily front desk operations, including answering phone inquiries, managing voicemail systems, and assisting clients with check-in (drive-thru and walk-in).
  • Provide general clerical and administrative support to Client Services Coordinators and Managers to maintain efficient workflow.
  • Maintain and update accurate records of client interactions in accordance with organizational protocols.
  • Schedule, reschedule, and cancel client appointments based on staff availability and client needs.
  • Accurately enter and regularly update client demographic information in Salesforce; assist in conducting routine audits for data accuracy.
  • Respond to referrals from external partners and ensure timely follow-up and documentation.
  • Support daily intake processes and contribute to the overall efficiency of client service delivery.
  • Collaborate with cross-functional teams to address client needs and facilitate access to additional services and resources.
  • Assist in compiling reports on client engagement, appointment trends, and service utilization.
  • Identify and recommend process improvements; support the implementation of streamlined administrative procedures.
  • Perform other related duties consistent with the scope and purpose of the position.

Requirements

  • High school diploma or equivalent (required).
  • Bilingual in Spanish (required).
  • 1+ year of nonprofit experience (preferred).
  • 2+ years of administrative or client services experience, preferably in a social services or community-based organization (preferred).
  • Must obtain and maintain a valid Nevada Food Handlers Card within thirty days of hire.

Preferred qualifications include experience working with vulnerable populations or community-based programs.

Schedule

This is a part-time position (approximately 20-25 hours per week, not exceeding 29 hours). The standard work schedule is Monday-Friday, 7:30 am - 11:30 am, with flexibility as needed. Evening, weekend, event-based, or on-call work may be required depending on program and operational needs.

Work Environment and Physical Demands

  • Ability to sit, use hands, talk, and hear for extended periods.
  • Frequent standing, walking, reaching, lifting, and carrying (up to 50 lbs).
  • Exposure to varying indoor and outdoor environments.

Travel Requirements

If the position requires travel to perform essential job duties, the employee must maintain a valid driver's license and meet the organization's insurability requirements. Reliable transportation is required to fulfill travel-related responsibilities.
