Position Summary

We are seeking a Client Service Administrator to provide operational and administrative support to Financial Advisors while delivering exceptional client service.

Key Responsibilities

  • Always act in the client's best interest.
  • Demonstrate integrity, professionalism, empathy, and a positive attitude.
  • Affiliate clients with account maintenance and general financial inquiries via phone and in person.
  • Build and maintain strong client relationships through exceptional customer service.
  • Handle sensitive financial information with the highest level of confidentiality.
  • Maintain accurate client records and documentation.
  • Prepare account paperwork and coordinate asset transfer processes.
  • Provide administrative support, including front desk duties, receptionist responsibilities, and data entry.
  • Affiliate in developing sales and marketing initiatives.
  • Help resolve client concerns and ensure timely follow-up.
  • Support client engagement initiatives and enhance overall client satisfaction.
  • Affiliate in organizing client events and educational seminars.
  • Manage promotional materials and client appreciation gifts.
  • Prioritize multiple tasks while meeting deadlines and maintaining service standards.
  • Collaborate effectively with advisors and internal team members.

Qualifications

  • Series 7 and Series 66 or Series 63/65 licenses preferred.
  • Foundational knowledge of investment and banking products.
  • Experience in client service, financial services, banking, or wealth management preferred.
  • Strong interpersonal and relationship management skills.
  • Excellent verbal and written communication skills.
  • Detail-oriented with exceptional organizational and note-taking abilities.
  • Self-motivated, coachable, and committed to continuous learning.
  • Ability to work efficiently in a fast-paced environment.
  • Strong problem-solving and time management skills.
  • Ability to maintain discretion with confidential client information.
  • Experience using CRM software such as Redtail, Wealthbox, Salesforce, or similar platforms is preferred.

Work Schedule

Monday through Friday
8:00 AM - 4:00 PM
30-minute personal break
Office-based position

Physical Requirements

  • Primarily desk-based work involving prolonged sitting.
  • Frequent computer usage and telephone communication.
  • Regular interaction with clients both in person and over the phone.
