About the Role
This is a transition role combining Client Management Assistant (Executive Assistant) responsibilities with training to become a full-time Client Manager. The incumbent will co-manage client relationships with assigned municipal utility district (MUD) boards while also handling executive support tasks. The duration in this dual role depends on business needs and mentor assessment.
Responsibilities
- Client Manager Admin:
- Communicate with assigned MUD boards to provide monthly performance updates.
- Attend all assigned board meetings and serve as the first point of contact for board members and district consultants.
- Manage relationships between MUD boards and MDS, acting as a liaison to resolve issues.
- Perform long-term planning to ensure cost-effective service delivery within assigned districts.
- Conduct administrative and strategic activities, including contract monitoring, evaluation, and analysis.
- Monitor financial performance of assigned districts and make recommendations to management.
- Analyze district needs to identify and market additional MDS services where beneficial.
- Serve as a backup Client Manager for other districts and attend their board meetings periodically.
- Build strong working relationships with Field Supervisors, Regulatory Compliance, and other departments.
- Executive Assistant:
- Manage data using Excel spreadsheets to ensure timely and accurate monthly Operations Reports.
- Research and resolve district issues, providing support for Contract Managers as needed.
- Coordinate logistics for client events, including communication, catering, entertainment, and scheduling.
- Organize special events like district tours, including preparing gift bags and handouts.
- Prepare time reports, expense reports, and organization charts for the department.
- Maintain the board and consultant database to ensure up-to-date information.
- Manage IRIS Messaging for districts and create client bill inserts and communications.
- Handle special projects such as rate order analysis, meeting follow-ups, and special reports for engineers.
- Both Roles:
- Write letters, memos, reports, agreements, and business correspondence as needed.
- Prepare presentation materials, including charts, graphs, and slides.
- Work in business systems such as AVR and Adjutant.
- Handle confidential information with discretion.
Requirements
- Bachelor’s degree or equivalent experience.
- Experience in a supervisory or leadership role demonstrating collaboration, conflict management, delegation, and adaptability.
- Two years’ experience in Water District Contract Management or a related role is preferred.
Skills
- Ability to adapt communication style for diverse audiences, including upper management and Board of Directors.
- Maintain a professional demeanor in image, attire, language, and business etiquette.
- Water industry experience preferred but not required.
- Detail-oriented, organized, and able to prioritize with excellent time management and decision-making skills.
- Self-motivated, able to work under pressure in a fast-paced environment with strict deadlines.
- Adept at building trust and positive relationships with clients, colleagues, and senior management.
- Excellent communication, management, and interpersonal skills.
- Proficient in MS Office (Word, Excel, Access, Outlook) with the ability to handle multiple projects.
- Flexible and sophisticated enough to work with any accounting system; fundamental understanding of basic bookkeeping techniques.
