About the role
We are looking for a highly motivated, proactive, and productive Executive Assistant with impeccable organizational skills to provide mature, discrete, and professional assistance in a one-to-three working relationship.
Responsibilities
- Act as liaison with all levels of staff globally, including executives and senior experts, high-profile clients, and external stakeholders from all aspects of the art business.
- Coordinate meetings: plan agendas with input, arrange speakers, organize materials, track attendance, and follow up on actions.
- Assist with diverse projects, initiatives, and rollouts, carrying out research, gathering, analyzing, and presenting data.
- Answer calls and handle incoming inquiries from staff and clients; resolve issues or escalate to executives.
- Ensure executives are prepared for all meetings, pitches, sales, and client interactions with materials and reports.
- Draft emails, type correspondence, prepare reports and presentations, and proofread documents.
- Coordinate and manage valuations and consignments through the process.
- Own and manage busy executive diaries, anticipate business and sales needs, schedule meetings/events/travel, and monitor conflicts proactively.
- Act as the “eyes and ears” for executives, keeping them informed of key art fairs, events, news, internal updates, upcoming sales, and results.
- Book travel, anticipate challenges or conflicts, prepare documentation, and liaise with international offices.
- Complete expenses and ensure timely payment.
- Manage invoices: check costs and accuracy, set up new vendors, process payments, and monitor timely payment.
- Manage the post-sale shipping process.
- Partner with other Executive Assistants and provide coverage where needed.
Requirements
- Bachelor’s Degree required.
- Experience in an Executive Assistant role or similar responsibilities.
- Awareness and interest in the art market and Sotheby’s, with a desire to learn about business development and strategy.
- Strong multitasking and prioritization skills.
- Fastidious attention to detail, accuracy, and organization.
- Adept at handling sensitive and confidential information professionally, maintaining discretion at all times.
- Able to maintain composure under pressure.
- Skillful ability to interact in a professional, mature, and collaborative style with key constituents.
- Excellent judgment and ability to represent the Sotheby’s brand and core competencies.
- Excellent interpersonal skills and an enthusiastic client service attitude.
- Strong written communication and analytical skills, with experience drafting reports, presentations, and correspondence.
- Proficiency in Outlook, Word, Excel, and PowerPoint.
- Flexibility to work some evenings and weekends when necessary.
Pay
The proposed base salary for this position ranges from $60,000–$65,000. Successful candidates are eligible to receive a discretionary bonus and a competitive benefits package. Salary offers are based on relevant skills, training, experience, education, and market factors.
