Pay

$21.15 hourly / $44,000.00 annual

Responsibilities

  • Serve as the initial contact for service referrals, providing excellent customer service with an accommodating, hospitable, friendly, and patient attitude. Listen and communicate effectively, efficiently, and compassionately.
  • Explain online registration availability and process new service inquiries for all 10-county offices.
  • Work with Office Supervisors to maintain the current roster of credentialed therapists by location. Develop and update therapist protocols based on regularly scheduled availability and preferred population(s) served.
  • Accept referrals electronically via DocuSign, by phone, or in person. Review information for completeness, schedule initial administrative intake appointments, and prepare forms for collecting information, including special notations regarding financial eligibility.
  • Conduct administrative interviews to gather demographic, medical, and financial information from clients or their representatives. Notify clients of their eligibility status and enter it into Pawnee’s EMR. Use agency resources (e.g., 270/271 files) to confirm eligibility based on current benefit information.
  • Explain monthly payment and/or sliding fee scale options and the application process. Clarify fees, insurance, and payment obligations. Collect and verify confidential proof of income and expenses to establish sliding fee eligibility when appropriate.
  • Determine and calculate payment due at the time of service, inform the client, and update the electronic health record to communicate this information to applicable staff.
  • Arrange for and communicate the need for prior authorization of services when required or when a change in services occurs.
  • Respond to notices from Client Service Representatives when payment was not obtained at the time of service and notify the clinical treatment team to develop a goal or intervention strategy with the client.
  • Obtain signed Advance Beneficiary Notice (ABN) at the time of initial intake when indicated or when additional non-covered services are requested.
  • Uphold confidentiality of client information, ensuring it is shared on a “need to know” basis only. Scan related protected health information to the electronic health record.
  • Provide administrative assistance and information to facilitate access and orientation to the agency and its services.
  • Refer clients in crisis (e.g., demonstrating suicidal thoughts, disorientation, high irritability, aggression, or emotional instability) immediately to a Pawnee therapist.
  • Process information concerning changes in benefits and enter new client information into the electronic health record accurately within two business days of receipt.
  • Work as a team member and participate in cross-training to manage fluctuating workloads or staff shortages.
  • Maintain and advance knowledge and skills related to the position or field of work through regular review of pertinent materials or participation in training events as approved by a supervisor.
  • Communicate effectively and proactively between programs to foster a positive client experience.
  • Adhere to standards, policies, and instructions established by PMHS Policy and Procedures and any applicable ethical codes within the field of employment.
  • Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  • Perform other reasonably related duties as assigned by an immediate supervisor or other management personnel.

Requirements

  • High school diploma or equivalent.
  • Basic personal computer skills.
  • Strong oral and written communication skills using the English language.
  • Prior experience or ability to learn to operate and assist with maintaining office equipment such as a postage machine, copier/scanner/fax machine, and folding machine.

Preferred Qualifications

  • Previous customer service experience in a medical office.
  • Experience with Microsoft Word and Excel.
  • Multi-lingual skills.

All employees will be required to submit to and pass a background check and drug screening.
