Client Implementation Project Coordinator - Employer Solutions
Remote, 6-month contract at $33.30/hour (W2).
Position summary
The Client Implementation Project Coordinator supports a high-volume portfolio of employer-client launches for healthcare and whole health products. This person takes each implementation from sales handoff through requirements, business configuration, quality review, go-live, and initial stabilization. The work follows an established implementation plan and requires exceptional organization, accurate hands-on execution, proactive follow-up, and professional stakeholder communication.
Important: This is a business-side client implementation position. It involves working in internal systems to complete configuration and audits, but it is not an IT, software-development, technical integration, or SaaS deployment role.
Required qualifications
- Experience in project coordination, client implementation, client onboarding, operations, account setup, or a related delivery role.
- Healthcare, health and wellness, employer benefits, insurance operations, payer/TPA, or another regulated-service environment.
- Demonstrated ability to manage many concurrent clients, projects, accounts, cases, or deadlines with accuracy.
- Strong organization, prioritization, follow-up, and time-management skills.
- Ability and willingness to complete hands-on administrative configuration, documentation, audits, and testing—not only coordinate others' work.
- Experience gathering requirements, tracking missing information, and translating requirements into an accurate setup or operational outcome.
- Professional written and verbal communication with clients, sales partners, and cross-functional teams.
- Self-directed work style with the judgment to identify risks, escalate issues early, and meet deadlines without close supervision.
- Comfort working in a fast-paced, repetitive, detail-sensitive peak-season environment where priorities and requirements may change.
- Working proficiency with project-tracking and standard office productivity tools; ability to learn internal systems quickly.
Preferred qualifications
- Experience implementing employer groups, client accounts, products, programs, or operational services.
- Experience with monthly effective dates, launch calendars, implementation checklists, configuration audits, or readiness reviews.
- Previous experience in a large, matrixed healthcare, employer-benefits, or client-delivery organization.
- Project coordinator experience with an interest in progressing into formal project management.
Responsibilities
- Manage a large portfolio of lower-complexity client implementations, potentially approaching 50 active launches during peak periods.
- Receive implementation requests from sales/growth teams and confirm the product, effective date, requirements, and outstanding information.
- Maintain tasks, milestones, dependencies, action items, decisions, risks, and status within an established project plan.
- Complete hands-on client/product configuration and administrative setup in internal systems.
- Audit, test, and validate configurations to confirm accuracy and launch readiness.
- Coordinate with internal subject-matter experts so configuration, data exchanges, training, operational processes, and service arrangements align with client requirements where applicable.
- Communicate professionally with external clients and internal sales, growth, operations, and service partners.
- Manage incomplete or changing requirements, clarify ownership, assess timing impacts, and escalate blockers promptly.
- Prepare for first-of-month go-lives, support initial issue resolution, and transition successfully implemented clients into ongoing operations.
- Maintain complete, accurate documentation and follow organizational implementation standards.
What success looks like
- Every assigned client has an accurate plan, clear next actions, and visible status.
- Missing or changing requirements are identified early and resolved or escalated quickly.
- Configuration and quality checks are completed accurately and by the required deadline.
- Clients and internal partners receive timely, professional communication.
- Monthly launches occur smoothly, with minimal preventable errors and clean transition into ongoing operations.
