What You’ll Do
- Serve as the primary point of contact for client inquiries via phone, email, and in-person, delivering a warm, responsive, and professional experience
- Coordinate all aspects of client meetings, including scheduling, preparing materials, and follow-up communication
- Support new client onboarding activities, ensuring a seamless, welcoming experience from paperwork through account setup
- Maintain accurate, up-to-date client records in CRM systems and other platforms, documenting all interactions in compliance with firm and industry standards
- Collaborate with advisors and internal teams to deliver efficient, high-quality client service across the full client lifecycle
- Monitor and proactively follow up on outstanding service items
- Assist with client communication strategies, such as appointment reminders, service updates, and outreach
- Contribute to client appreciation efforts, events, and initiatives to strengthen client relationships
- Proactively identify and recommend improvements to processes, workflows, and service efficiencies
- Support reporting and tracking of key client service metrics and team performance indicators
- Provide administrative and operational support to the team, including participation in special projects and firm initiatives
What We’re Looking For
- High School Diploma, Associate or Bachelor’s degree preferred
- 1+ years’ experience in client service, administrative support, financial industry or hospitality required
- Demonstrates strong proficiency and confidence working across various platforms and operating systems including Microsoft Office Suite, Google Workspace, Customer Relationship Management (CRM) systems
- Excellent communication; written and verbal
- Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
- Collaborative team player willing to assist others
- Demonstrates exceptional organizational skills by efficiently managing multiple requests and prioritizing time sensitive tasks
- Exhibits meticulous attention to detail and a commitment to accuracy
- Self-starter who takes initiative and works well independently
- Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters

Schedule
- In office: Monday 9am-5pm, Tuesday-Thursday 8:30am-6pm, Friday 9am-3pm
- Occasional evenings required for client events
